Your Mission




We are looking for an experienced Payments Assistant reporting directly to the Financial Controller. As a key member of our Finance an Admin team, you will take full ownership of essential financial operations, playing a crucial role in Years' continued growth and financial health.


Your mission is to strategically support our transition to more robust in-house financial processes, ensuring accuracy, efficiency and compliance as we scale. You will be instrumental in strengthening our financial operations by managing day-to-day financial activities and collaborating closely across teams to support business decisions.


Balancing hands-on execution with strategic improvement initiatives, you'll help drive the financial backbone that supports our mission to revolutionise dog food and deliver personalised nutrition to thousands of happy customers.


Key Responsibilities




Management of the accounts payable function, ensuring supplier relationships are maintained and payments are processed efficiently on a weekly basis. Supplier statement reconciliations. Financial account monitoring including PayPal, NatWest bank and Soldo accounts to ensure accurate cash flow management. Processing of weekly payroll and monthly salaries with diligence using Xero software, ensuring all team members are paid accurately and on time. Management of monthly payroll deductions to HMRC/NEST, associated reporting and annual handling of P60/P11D documentation. Maintain accurate financial records through careful data entry and account management including accruals, prepayments and asset tracking. Prepare and coordinate quarterly VAT submissions. Customs & duties knowledge ideal. Management of company expenses using application-based "Soldo" software to ensure proper oversight and control. Liaison with external accountants and HMRC when required to maintain compliance. Support to the Financial Controller with financial reporting and analysis as required.

What You'll Bring




Proven experience in a finance or accounts role, including payroll processing experience. Possession of a recognised qualification such as AAT or equivalent finance qualification. Essential hands-on experience with cloud-based accounting platforms like Xero, combined with strong proficiency in Microsoft Excel to support accurate financial reporting and analysis. Exceptional attention to detail and accuracy, balanced with the ability to work autonomously whilst actively contributing to a collaborative team environment. Demonstrated adaptability and eagerness to learn within a fast-paced, rapidly scaling startup environment. Brings a proactive, solutions-focused mindset and is committed to continuous improvement. Comfortable navigating change and ambiguity, helping to shape and refine internal financial processes as Years expands its operations and enhances financial management capabilities.
