Role Purpose:

We're looking for a motivated and enthusiastic Payroll and Data Integrity Officer to join the National Portrait Gallery for six months. This is a fantastic opportunity for someone at the start of their career, eager to build valuable skills in payroll support, data management, and HR systems, while contributing to one of the UK's most iconic cultural institutions.


You'll be working closely with our experienced and supportive Payroll Manager, learning the ropes of how a monthly payroll is run, supporting with essential data entry, and helping us maintain high-quality, accurate employee data. You'll also play a key role in some of our exciting data projects, helping us transform how we use our HRIS to improve reporting and enable evidence-based decision-making across the organisation.


Key Accountabilities:




Payroll Support




Assist the Payroll Manager with the monthly payroll process, ensuring all changes (starters, leavers, contractual amendments, overtime, etc.) are accurately processed and deadlines are met. Input, check and reconcile payroll data to ensure accuracy and compliance. Support the preparation of payroll reports and documentation as required.

HRIS Data Integrity and Reporting




Maintain accurate employee records within the HR Information System, ensuring data is up to date and consistent. Conduct regular data audits, identifying and correcting errors to maintain high standards of data integrity. Support People & Culture colleagues with the production of reports on headcount, absence, turnover and other workforce metrics. Contribute to projects that enhance the quality, usability, and reporting capability of our HRIS.

Finance Support




Provide basic data entry support to the Finance team, ensuring accurate and timely input of information into financial systems. Support collaboration between Payroll, People & Culture, and Finance teams to ensure smooth processes and reliable data flow.

General




Maintain strict confidentiality of all payroll and employee data, adhering to GDPR and data protection standards. Develop knowledge of payroll and HRIS processes through on-the-job learning and support from the Payroll Manager. Contribute to the continuous improvement of processes within Payroll and People & Culture.

Key Experience, Skills and Criteria:




Essential




Strong IT and data handling skills, particularly with Excel (comfortable with formulas, pivot tables, or a willingness to develop these skills). Excellent attention to detail and accuracy when processing data. Good organisational skills with the ability to manage multiple priorities and meet deadlines. Ability to work discreetly with sensitive and confidential information. A proactive, enthusiastic approach with a willingness to learn and develop.

Desirable




Experience of working in an administrative or data-focused role. Familiarity with HR or payroll systems (training will be provided). Understanding of GDPR and data protection in relation to employee information.

Key Relationships




Internal: Payroll Manager, People & Culture team, Finance team, line managers across the Gallery. External Payroll software providers (as required).
