Job Description

The People team works closely with the management team to deliver the skilled, flexible, high-performing and innovative workforce that enables Sidekick to deliver on its mission.

As People Administrator you will hold responsibility for supporting the day-to-day operations of the People function. This role is responsible for maintaining employee records from onboarding through to off-boarding and everything in between.

You'll also play a key role in supporting the People Manager and Head of People, actively contributing to the development and implementation of effective people strategies and cultivating a company culture that is collaborative, innovative, inclusive, empowering, sustainable, and optimistic. This will involve driving and supporting projects and initiatives to enhance our people's experience, employee engagement, wellbeing, and Sidekick's employer brand and reputation.

DUTIES AND RESPONSIBILITIES



Recruitment

: Manage front line recruitment processes, including creating internal and external job postings, liaising with candidates and ensuring a consistent, positive candidate experience

Onboarding & Offboarding:

Co-ordinate the onboarding process for all new starters, including welcome emails, document collections, right to work checks, system set up and HR induction. Support offboarding, including the exit process and access removal

Contract and Employment Changes:

Process employee changes such as promotions, contract amendments, and salary adjustments. Prepare updated contracts or letters and ensure changes are accurately recorded in the HR system.

Payroll Support:

Maintain payroll records and ensure all changes are communicated accurately and on time. Liaise with the Finance and Payroll teams to resolve payroll-related queries from employees via the HR inbox. Track leave, absences and other inputs affecting Payroll

HR Administration:

Monitor and manage the HR inbox, responding promptly to employee questions and requests. Handle reference requests (employment, mortgage etc.) in a timely and professional manner. Maintain up to date employee records in the HR system, ensuring data accuracy and GDPR compliance.

Reporting:

Generate and distribute regular and ad hoc reports (e.g. headcount, turnover, absence, gender pay gap etc.) Provide data for our client portal and in support of audits or other internal reporting needs.

Employee Benefits:

Administer employee benefits programs (e.g., healthcare, life assurance, EAP, pension), including enrolments, changes, and terminations
Act as a point of contact for benefit-related questions and coordinate with external providers.

Employee Engagement:

Coordinate the "Sidekick of the Month" program, managing nominations, communications, and recognition activities. Support the planning and execution of employee engagement initiatives, including team lunches, company social events, celebrations, and wellbeing activities. Assist in the creation of the internal company newsletter, gathering content, drafting updates and sharing key announcements. Support wider employee engagement and wellbeing initiatives as needed.

Projects:

Support and lead on ad hoc HR projects aimed at improving processes, systems, and the employee experience (e.g., reviewing benefits, HRIS improvements, process automation, policy updates). Collaborate with other teams to ensure successful planning and implementation of cross-functional initiatives.

SKILLS AND BEHAVIOURS



Experience in a similar HR administrative or coordinator role Understanding of core HR processes, payroll cycles, and employment documentation Working knowledge of right to work checks and GDPR regulations Strong attention to detail and accuracy, especially with data and documentation Excellent written and verbal communication skills Proactive, friendly, and able to manage multiple tasks with competing deadlines. Proficiency in HRIS systems and Microsoft Office, particularly Excel and Outlook
Preferred:

CIPD Level 3 (or working towards) Experience of using HR software

KEY PERFORMANCE INDICATORS



Onboarding Timeliness: 100% of new hires onboarded on or before their start date with complete documentation. Payroll Accuracy: Zero payroll errors resulting from HR data or processing delays. HR Inbox SLA: 95% of HR inbox queries responded to within 3 business days. Contract & Data Updates: All contract changes and employee data updates processed within 3 business days. Reference Turnaround Time: Employment references issued within 3 business days of request. Engagement Activity Participation: Target participation rate in engagement activities (e.g., Sidekick of the Month nominations, team events) above 50% HRIS Accuracy: 100% accuracy in employee records and right to work documentation during audits. Benefits Administration: All benefit enrolments and changes processed within provider deadlines and with zero missed submissions. Project Delivery: Timely completion of assigned HR projects against defined milestones and scope
