We are seeking a new
People (HR) Coordinator
who will report to the People Operations Manager, who reports to the Cluster People Director for Scotland. This is a fantastic opportunity for someone who either has experience in this type of role, thrives on organisation and contributing to a people function, or for someone who is at the early stage of their HR career and would like the opportunity to learn and grow within a progressive and ambitious team.
There is capacity for full time hours, however, we are open to discuss part time and flexible options for this role too.

The People Development Function - JA Scotland
The Cluster People Team for Scotland supports both JA Mar Hall and JA The Bruntsfield, caring for a workforce of approximately 250 colleagues across the two properties. We are a small, agile team with the privilege of wearing all hats - people operations, employee relations, talent attraction, reward recognition, learning development, engagement, succession planning, and more.
The main office base is generally within the hotel at Mar Hall, Bishopton (Just 20 minutes from Glasgow), with weekly travel required to JA The Bruntsfield Hotel in Edinburgh once per week, although we would be open to candidates being based at either property and flexibility in travel days / times.
About the Role
We are looking for a warm, organised, and proactive People (HR) Coordinator to support the delivery of exceptional HR services across the cluster.
This role acts as the heartbeat of HR operations - ensuring accurate documentation, seamless recruitment administration, smooth onboarding, and timely payroll support. You will be a key point of contact for colleagues and managers, helping create a supportive, efficient, and positive People function that reflects our luxury service standards.
This is a fantastic opportunity for someone looking to develop in HR within a small, supportive team where you can genuinely "wear all hats" and gain exposure to every aspect of people strategy.
Key Responsibilities
HR Administration Compliance
Maintain accurate personnel files, new starter documents, right-to-work checks, and compliance logs.
Support policy management, HR documentation, and GDPR control.
Provide timely updates of HR data, reports, and KPIs including absence, turnover, and training completion.
Recruitment Onboarding Support
Coordinate job postings, screen applications, and schedule interviews for both properties.
Manage candidate communication throughout the recruitment cycle.
Prepare contracts, offer letters, onboarding packs, and reference checks.
Support hiring managers with interview coordination and recruitment admin.
Deliver elements of the induction process and ensure all new hires are fully onboarded.
Payroll Workforce Administration
Prepare monthly payroll inputs including hours, absences, holidays, and contractual changes.
Work closely with Finance and managers to ensure timely and accurate updates.
Maintain trackers and systems to ensure clean, accurate workforce data.
Employee Support Communication
Act as the first point of contact for colleague queries, offering friendly, efficient support.
Help organise People events, recognition activities, engagement initiatives, and wellbeing programs.
Maintain HR communication boards, digital channels, and announcements.
Training People Development Coordination
Support scheduling, organising, and tracking of all training sessions.
Maintain training matrices and ensure compliance requirements are met.
Work closely with the Cluster People Development Manager to support LD logistics.
Employee Relations Support
Provide administrative assistance including meeting notes, letters, and documentation for ER cases.
Ensure secure and compliant storage of ER paperwork.
About You
We are looking for someone with:
Some prior experience in HR or administrative roles
Hospitality experience with an interest in supporting people to excel in their roles.
High attention to detail and strong organisational skills
Warm, professional communication style
Ability to handle confidential information sensitively
Proficiency in Microsoft Office
A collaborative approach and enthusiasm for supporting people
Confidence travelling between the two properties when needed.
