Job Title: Personal Assistant to Managing Director (Multi-Company Support)

Job Summary:
We are seeking a highly organized, proactive, and professional Personal Assistant (PA) to provide comprehensive executive support to the Managing Director (MD) of multiple companies across various industries. This role demands a high level of confidentiality, exceptional communication skills, multitasking ability, and a strong understanding of business operations.
The ideal candidate will serve as the right-hand support to the MD, ensuring their time is effectively managed, priorities are addressed, and operations across companies run smoothly.
Key Responsibilities:
1. Executive Support:
Manage and maintain the MD's calendar across multiple businesses, including scheduling meetings, appointments, and travel.
Prepare agendas, take minutes, and follow up on action items from meetings.
Handle confidential correspondence, emails, phone calls, and other communications on behalf of the MD.
Draft, edit, and proofread business documents, reports, and presentations.
Coordinate with internal departments and external stakeholders across all companies.
2. Operational Support:
Assist with day-to-day business operations, ensuring timely execution of tasks and projects.
Liaise with department heads and senior managers across companies to gather updates and progress reports.
Track project deadlines, deliverables, and ensure follow-through on commitments.
Conduct basic research and prepare briefing materials to support the MD's decision-making.
3. Travel & Logistics:
Arrange complex international and domestic travel itineraries, including flights, accommodations, ground transport, and visas.
Prepare detailed travel packs with schedules, contacts, and relevant documentation.
Ensure smooth coordination of MD's travel across time zones and business functions.
4. Personal Assistance:
Handle select personal matters as requested by the MD, such as family-related coordination, appointments, and private events.
Maintain discretion and professionalism in managing both personal and business-related tasks.
5. Document & Data Management:
Maintain well-organized digital and physical filing systems for documents and communications.
Manage confidential records and files with the utmost discretion.
6. Communication & Stakeholder Management:
Act as a point of contact between the MD and clients, employees, investors, or partners.
Build and maintain strong relationships with stakeholders to ensure the MD's availability and objectives are met.
Relay accurate and timely information between the MD and other parties.
Qualifications & Skills:
Education: Business Administration, Management, Communications, or a related field
preferred.
Experience: Minimum 3-5 years' experience in a PA role, ideally supporting managing
directors across multiple ventures, senior directors or founders, especially in a multi-company or fast-paced environment.
Skills:
o Excellent written and verbal communication.
o Strong organizational and time management abilities.
o High level of discretion, integrity, and professionalism.
o Strong multitasking and prioritization skills.
o Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and cloudbased tools (Google Workspace, Zoom, Slack, etc.).
o Ability to work independently and make sound decisions.
Working Conditions:
Flexibility to work beyond standard hours when necessary.
May require occasional travel depending on MD's schedule and business needs.
Ability to handle high-pressure situations with a calm and efficient approach.
