Job Summary


We're looking for a highly organised, discreet, and proactive Personal Assistant to the CEO to provide high-level administrative and operational support. You'll manage a busy diary, coordinate communications and meetings, handle confidential information with tact, and act as a trusted "right hand" to ensure the CEO's time is protected and priorities are executed smoothly. Duties



Own end-to-end calendar management, including scheduling, prioritising, and resolving conflicts.

Prepare the CEO's daily/weekly schedule, ensuring time is structured around strategic priorities.

Coordinate internal and external meetings, ensuring agendas, pre-reads, and actions are in place.

Manage the CEO's email and correspondence, drafting replies and filtering/triaging requests.

Act as a professional point of contact for senior stakeholders, partners, and suppliers

Prepare letters, presentations, briefing notes, and updates in the CEO's voice and style.

Organise Board/leadership meetings: logistics, papers, minutes, and action tracking.

Maintain a robust system for decisions, actions, and follow-ups, ensuring accountability.

Support confidential HR/sensitive matters with absolute discretion.

Coordinate site visits and multi-stop days with contingency planning.

Liaise with leadership team members to align schedules and unblock priority work.

Support key CEO initiatives (e.g., events, strategic planning cycles, internal comms).

Maintain efficient admin systems (files, contacts, templates, records).

Ensure documents are appropriately versioned, stored, and accessible.

Experience



Proven experience as a PA/EA supporting a senior leader (CEO/MD/Director), ideally in housing, property, construction, public sector, or regulated environments.

Excellent diary management, prioritisation, and gatekeeping skills.

Strong written communication (emails, briefs, minutes, presentations).

High discretion and comfort handling sensitive information.

Confident coordinating across teams and managing senior stakeholders.

Strong digital skills (Microsoft Office/Google Workspace; video conferencing tools).

Calm under pressure with a solution-focused mindset.

Experience supporting Board or governance processes.

Familiarity with housing sector terms, compliance, or resident/customer operations.

Project coordination experience (tracking actions, timelines, risks).
