Role overview

Introduction to the role:

We have an exciting opportunity to provide an effective and flexible secretarial service and support the internationally recognised Commodities team. Introduction to the team:

The Commodities team are based out of our London office and is headed by Jeff Isaacs.

The Team has extensive expertise in providing dispute resolution services, as well as non-contentious advice, in relation to commodity sale transactions, their financing, hedging, regulation, insurance and carriage by sea and in-land.

The Team has an enviable international client list and its varied work covers the full spectrum of soft and hard commodities.

Key responsibilities:



To provide a bespoke personal assistant service to the Commodities team including liaising with team members and clients Sending chasers to the team where necessary, including chasing for financial information, review forms and other information that may be required by the Partners. Developing good working relationships with both internal colleagues and external clients and contacts as required, promoting a positive working culture and environment Prepare standard documentation including preparing all draft bills, draft letters and sending out bills Updating and sending out monthly information sheets to clients Manage and monitor diaries for fee-earners in the team Maintain team's clients database and precedent documents Ad-hoc tasks such as travel booking, processing expenses, compiling PDF documents Diary management and arranging meetings Booking meeting rooms as and when required. Preparing bundles Opening of client files Screening telephone calls (enquiries and requests) and handling them when appropriate. Drafting correspondence and preparing documents as required Devising and maintaining office systems including filing and data management Stationery ordering Copying and distributing documents, ensuring they reach their destination. Dealing with incoming e-mail, faxes and post and where appropriate corresponding on behalf of the fee earner Minute taking and transcription Dealing with expenses and payment of invoices General administration/support tasks, as required

Previous experience working in a busy office environment Proficient in Word, Excel, Outlook, PowerPoint
It would be beneficial for you to have some of the following:

Proficient in diary management; meeting arrangements, telephone and email communication Conversant in document formatting including track changes, auto-numbering and creating table of contents Conversant in document version control Able to demonstrate excellent communication skills An understanding of confidentiality issues and use of discretion Excellent time management Excellent organisational and interpersonal skills Able to produce accurate and well-presented typewritten work Able to work under pressure and prioritise Willing and able to work as part of a cross-office team Able to use initiative Able to take and pass on accurate messages in a timely manner Able to demonstrate adaptability and flexibility in approach A professional approach and attitude to work Proven experience working in a legal environment
