Your role is pivotal in providing professional, proactive administrative and organizational support to three London-based senior leaders within the global HR function (Head of EMEA HR & Global Head of Employee Relations, Global Head of Compensation Consulting & Operations and Head of International Payroll). You will ensure the smooth running of their day-to-day activities, coordinate multiple priorities across time zones and act as a trusted point of contact for internal and external stakeholders. Discretion, efficiency and empathy coupled with flexibility and a positive mindset is key.

How you'll spend your time...



Provide high-quality, proactive administrative support. Manage complex diaries, including scheduling meetings across multiple time zones, coordinating appointments and resolving scheduling conflicts. Organize and coordinate meetings and events of various nature and size, including arranging space, preparing agendas, taking notes, managing meeting records and following up on actions. Support the planning for larger HR events such as townhalls and annual summits, ensuring that the London based arrangements are planned and executed smoothly, including on occasion, identifying and liaising with external venues, arranging catering, planning evening events, checking technical requirements and logistics. Draft, format and proofread correspondence, presentations, reports and other documents as required. Handle confidential and sensitive information with the utmost discretion and professionalism. Act as the main point of contact for internal and external stakeholders on behalf of the HR leaders, responding promptly and professionally. Arrange global and domestic travel, including itineraries, flights, ground transportation, visa letters, accommodation and expense claims. Take responsibility for various organizational items on behalf of the EMEA HR team, such as office arrangements, support for visiting team members, organizing team celebrations, maintaining the team call tree, owning team SharePoint sites, maintaining team distribution lists, and completing ad hoc administrative tasks such as invoice processing.. Build strong working relationships within the London HR team, across the wider global HR team and with other business areas to facilitate smooth information flow and effective collaboration. Carry out additional ad hoc duties as required.

To be successful in this role you will have...



Proven experience as a PA, Executive Assistant or Team Assistant supporting senior leaders, within a corporate environment and, ideally within an HR function. Experience in Asset Management or Financial Services environment preferrable Excellent organizational and time management skills with the ability to manage multiple priorities and tight deadlines. Strong communication skills, both written and verbal, with attention to detail and accuracy. Proficiency in Microsoft Office suite (Outlook, Word, PowerPoint and Excel). Fluency in business English, written and spoken. Experience managing complex diaries and arranging global travel. High level of professionalism and discretion in handling confidential information. Proactive and solution-focused approach to problem-solving. Ability to multitask and prioritize tasks. Ability to work on your own as well as part of a team. Flexibility and adaptability to juggle a range of different tasks.
