Overview


We are seeking a highly organised and proactive Personal Assistant to support our CEO in managing daily operations and administrative tasks both in hospitality and bakery industry. The ideal candidate will possess excellent clerical skills, a strong command of Google Suite and demonstrate exceptional phone etiquette. This role is pivotal in ensuring smooth communication and efficient workflow within the office.

Duties



Provide comprehensive administrative support, including scheduling appointments and managing calendars. Handle data entry tasks accurately and efficiently to maintain up-to-date records. Assist with financial record-keeping, including invoicing and expense tracking. Manage correspondence, including emails and phone calls, ensuring professional communication at all times. Prepare reports and presentations as required, utilising Google Suite tools effectively. Support team members with various clerical tasks as needed to ensure operational efficiency. Assist with inventory tracking, supply orders, and vendor coordination. Arrange travel, accommodations, and itineraries. Handle confidential information with discretion. Assist in monitoring KPIs, guest feedback, and project deadlines. Provide administrative support for recruitment, training, and staff scheduling when required. Coordinate product deliveries and customer orders. Support HR and payroll processes (e.g., timesheets, onboarding). Occasionally assist in-store during busy periods or events.

Qualifications



Proficiency in Google Suite applications (Docs, Sheets, Calendar) is essential. Proven experience as a personal assistant or executive assistant, preferably in the hospitality industry or admin assistant in a food or retail environment preferred. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficient in Microsoft Office Suite; knowledge of hotel management systems is a plus. Flexibility with working hours and ability to respond in urgent situations. Excellent organisational skills with the ability to prioritise tasks effectively. Demonstrated phone etiquette and strong written communication skills. A proactive attitude with the ability to work independently as well as part of a team.

Job Type: Full-time

Pay: 28,000.00-32,000.00 per year
