Location: London, Paddington





To provide proactive, professional, confidential PA and administration shared support to the VOIS Finance Leadership team. Required to build a strong network and act as a professional point of contact across Vodafone, VOIS and partners. Given the very dynamic, fast-paced environment of the newly created VOIS business functions, a very flexible approach to diary management and other activities is required.

Key Responsibilities:



Diary Management: Efficiently manage and prioritize the calendars, scheduling meetings, appointments, and coordinating with internal and external stakeholders Correspondence Management: To manage e-mails and correspondence responding where appropriate on their behalf and/or forwarding for input to the relevant stakeholders and to use judgement to determine whether meeting requests are accepted. Travel Coordination and Expense Management: Coordinate travel arrangements for the Heads of and manage travel expense reports, ensuring accurate documentation and compliance with company policies, itinerary and associated approvals Coordination of Meetings for team and customer events: Organize and coordinate meetings, both virtual and in-person, including preparing agendas, taking notes, and following up on action items Ad-hoc project support and tasks: Support in ad hoc projects and tasks as needed to enhance departmental efficiency, effectiveness and to drive a positive working culture

Core competencies, knowledge and experience:



Proven experience in successfully supporting senior executives (+ 5 years ) in very dynamic, fast-paced and entrepreneurial settings Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively Detail-oriented with a proactive and positive approach to problem-solving and the ability to work independently and staying resilient with the ability to remain calm when under pressure. Excellent verbal and written communication skills with advanced proficiency MS Office Suite (Word, Excel, PowerPoint, Outlook) Builds effective relationships, breaks down barriers based on a strong understanding of VOIS and Vodafone organization and culture
