Responsibilities:
1. The Managing of the Director's inbox, organising incoming mail and ensuring emails are responded to in good time.
2. Support Director in managing his work by contacting current and potential clients over phone and by email on Director's behalf, ensuring smoother productivity
3. Maintain a high level of confidentiality.
4. Preparing for and taking minutes at meetings and from dictations
5. Liaise with other members of staff on behalf of the Director, ensuring updates are given and received accordingly.
6. Provide administrative and organizational support ahead of events, shows and exhibitions.
7. Complete reports and other ad hoc administration tasks
8. Any other ad hoc tasks as required such as appointment scheduling and diary management
Office Coordinator:
1. Act as the 'voice of the company', answering the phone as it rings and fielding calls to the correct department or team member.
2. Maintain stock levels of office equipment and stationery, liaising with Team Leaders to establish needs.
3. Assist in coordination of fire alarm testing, PAT testing, and other ad hoc building maintenance arrangements
4. Organise annual company events and ensure employee milestones are celebrated, keeping to expected budgets
5. Ensure office upkeep standards are met.
6. Coordinate the office cleaner, reporting any issues to Operations Manager.
7. Assist team members with producing company standard documents, utilizing existing versioned templates and producing ad hoc reports as required.
Experience:
- Proven experience as a Personal Assistant or similar role. We will consider applicants with less experience.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent phone etiquette and communication skills, both written and verbal
- Proficiency in data entry and using computer software such as Google Suite, Microsoft Office Suite and various CRMs
- Knowledge of clerical and administrative procedures
- Familiarity with office equipment and basic troubleshooting
