We are seeking a highly organised, proactive, and professional
Personal Assistant
to support our Property Management Team. This is a pivotal role providing administrative, operational, and executive support to senior managers and ensuring the team functions efficiently. The ideal candidate will have excellent communication and organisational skills, with experience in a fast-paced, client-focused environment--ideally within property or professional services.
Responsibilities
Provide high-level administrative support to the Head of Property Management and senior team members
Manage diaries, coordinate meetings, and arrange travel and accommodation
Prepare agendas, take minutes, and follow up on action points from internal and external meetings
Maintain and update key documents, trackers, and filing systems
Handle incoming communications, screen calls, and respond to queries on behalf of the team
Assist with the preparation of reports, presentations, and correspondence
Support the preparation of new business proposals and pitch documents, including collating information, formatting, and coordinating contributions from the wider team
Assist with onboarding of new team members and coordinate training or team events
Liaise with clients, suppliers, and other stakeholders in a professional manner
Coordinate property inspections, compliance documentation, and deadline tracking where required
Help ensure the team complies with internal processes, KPIs, and service standards
Requirements
Proven experience as a PA, Team Assistant or Administrator, ideally in property, real estate, or professional services
Exceptional organisational and time management skills with a proactive approach
Strong written and verbal communication skills
Confident handling confidential and sensitive information
High attention to detail
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with property systems is an advantage
Ability to work under pressure and manage competing priorities
A team player with a friendly, can-do attitude
