We are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative support to our Director. The ideal candidate will possess excellent communication skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. This role offers an opportunity to work in a dynamic environment where organisational skills and professionalism are highly valued. The successful applicant will be responsible for managing schedules, handling correspondence, and ensuring smooth daily operations. The role requires attendance three days per week, Monday, Wednesday and Friday - 9am - 6pm.
Duties
Managing and maintaining executives' calendars, scheduling appointments, meetings, and travel arrangements
Management of Customer Services
Handling incoming calls with professional phone etiquette and directing them appropriately
Preparing and organising documents, reports, and presentations using Microsoft Office and Google Workspace
Data entry and maintaining accurate records
Organising files, correspondence, and office supplies to ensure an efficient workflow
Assisting with personal errands and miscellaneous tasks as required by the Director
Liaising with clients, vendors, and internal departments to facilitate communication and follow-up
Managing email correspondence, prioritising urgent matters, and drafting responses when necessary
Experience
Proven administrative experience in a similar role or office environment
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Understanding confidentiality and GDPR
Strong organisational skills with the ability to multitask effectively under pressure
Excellent data entry skills with high accuracy and attention to detail
Previous clerical experience including filing, document preparation, and record management
Excellent customer services experience
Demonstrated phone etiquette skills with professional communication abilities
Ability to manage stressful situations as required
