We are seeking a highly organised and proactive Personal Assistant to provide comprehensive support to our executive team. This role involves managing schedules, handling correspondence, and ensuring the smooth operation of daily administrative tasks. The ideal candidate will possess excellent communication skills, strong organisational abilities, and proficiency in various office software. Responsibilities
Managing and maintaining executive calendars, scheduling appointments and meetings efficiently
Handling correspondence via email, phone calls, and written communication with professionalism and courtesy
Organising travel arrangements, including booking flights, accommodation, and transportation
Performing data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks where applicable
Preparing reports, presentations, and other documents as required
Maintaining filing systems both digitally and physically for easy retrieval of information
Assisting with general administrative duties such as photocopying, scanning, and organising office supplies
Managing incoming calls with excellent phone etiquette and redirecting inquiries appropriately
Supporting special projects and ad hoc tasks to ensure the seamless operation of daily activities
Experience
Previous administrative or clerical experience is preferred but not essential; training will be provided for specific software tools
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar) is essential
Experience with QuickBooks or similar accounting software is advantageous
Strong organisational skills with the ability to prioritise tasks effectively
Excellent typing speed and data entry accuracy
Demonstrated ability to communicate professionally via phone and email in a courteous manner
Familiarity with office procedures and general administrative practices is desirable
