The Surgeon's Personal Assistant (PA) will provide comprehensive administrative and clinical coordination support to the surgeons working across Signature and Electiva clinics. This role ensures smooth scheduling, efficient aftercare management, and professional communication with patients and internal teams. The PA will also assist in maintaining high standards of service, patient satisfaction, and compliance with clinic protocols.
Key Responsibilities
Clinical and Patient Coordination
Manage all?before-and-after surgery?patient coordination for Signature and Electiva clinics.
Oversee?redo aftercare?appointments and ensure timely follow-up with patients.
Organise and track?6-month post-surgery reviews.
Collect, record, and report on?patient feedback and reviews?to support service improvement.
Scheduling and Logistics
Coordinate the surgeons' schedules between?Electiva?and?Signature?clinics to ensure balanced workflow.
Manage all?travel and accommodation bookings?for the surgeons as required.
Liaise with clinic managers and admin teams to align schedules with theatre availability and patient needs.
Administrative Support
Prepare and issue?referral letters, maintain accurate patient files, and handle all administrative documentation related to surgical cases.
Ensure all patient data and documentation comply with confidentiality and data protection regulations.
Support the governance and aftercare teams with reports and documentation as required.
Marketing and Professional Engagement
Use clinic-approved cameras and media tools to?capture before-and-after patient photos?in a professional and compliant manner.
Explore and implement new publicity trends?that align with the clinic's brand identity and regulatory guidelines.
Collaborate with the marketing team to support the surgeons' professional presence and patient communication materials.
Skills and Requirements
Previous experience as a PA, medical secretary, or coordinator within healthcare or aesthetics preferred.
Strong organisational and multitasking skills.
Excellent written and verbal communication.
Discretion, professionalism, and respect for patient confidentiality.
Proficient in scheduling systems (e.g., Power Diary or similar) and basic administrative software (Word, Excel, Outlook).
Familiarity with patient photography protocols and marketing compliance is an advantage.
