Personal Assistant / Admin & Reception Support
to join our team on an ad-hoc basis.
Location:
Stroud ( clinic to help on busy days and then from home if wanted)
Pay:
13.50 per hour (hourly rate reviewed after 6 months, based on role progression and understanding of the business)
Hours:
Ad-hoc / Flexible - including weekend availability for responding to messages and emails
About the Role:
You'll be working closely with Leah to support the smooth day-to-day running of the clinic. From managing enquiries and bookings to helping behind the scenes, you'll play a key role in supporting both the business and Leah herself - giving her the space to focus on growth and expansion.
Key Responsibilities:
Responding to client enquiries via email, text, and social media (including weekends)
Answering calls and managing the diary (rearranging/rescheduling)
Welcoming clients in clinic: drinks, forms, applying numbing cream when needed
Supporting Leah with
general business admin
and
life admin tasks
to help free up her time
Managing cancellations and rearranging if Leah is unwell
Ordering clinic supplies where appropriate
Posting Instagram stories and engaging on social platforms
Following up with clients post-treatment
Checking in with clients and handling any complaints with care
Monitoring the booking system for overdue treatments and follow-ups
Lead generation and model organisation
Ensuring forms are completed and records are up to date
Making updates to clinic booking columns and availability
Supporting with website checks and updates
Helping with small operational tasks and ongoing business improvements
Ideally some knowledge or interest in aesthetics and wellness
Character -
Someone reliable, flexible, and able to self-manage
Friendly, professional and confident in communication
Highly organised with great attention to detail
Comfortable with social media and client interaction
Previous admin, PA or reception experience (ideally in aesthetics, beauty or wellness)
A proactive problem-solver who loves helping things run smoothly
Responsibilities
Manage the Director's calendar, including scheduling meetings and appointments
Prepare and organise documents for meetings, ensuring all necessary materials are available
Handle data entry tasks with accuracy and efficiency
Maintain filing systems, both electronic and paper-based, to ensure easy retrieval of information
Assist with bookkeeping tasks using QuickBooks as needed
Communicate effectively via phone and email, demonstrating excellent phone etiquette
Support the Director with clerical duties, including typing correspondence and reports
build itineraries for business trips
Experience
Proven administrative experience in an office environment is essential
Familiarity with QuickBooks is highly desirable
Strong organisational skills with the ability to manage multiple tasks simultaneously
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Experience in data entry with a focus on accuracy
Excellent clerical skills with attention to detail
Effective communication skills both written and verbal
