The ideal candidate will have excellent administrative skills, keen attention to detail, and the ability to manage a wide variety of tasks efficiently. This role plays a crucial part in ensuring the smooth operation of the Director's office and day-to-day mortgage operations. Discretion and professionalism are essential, especially when handling sensitive client and business information.
Key Responsibilities
Provide comprehensive administrative support to the Director, including diary management, meeting coordination.
Liaise with clients and lenders to assist in the progression of mortgage applications and documentation.
Prepare and submit initial mortgage documentation and ensure all compliance and regulatory checks are in place.
Monitor case progression via CRM systems and mortgage sourcing platforms, chasing updates where necessary.
Answer calls and emails in a professional manner, acting as a first point of contact for client enquiries when required.
Maintain accurate client records and ensure all data is correctly uploaded and updated in relevant systems.
Order and manage office supplies, ensuring all operational resources are well-stocked and maintained.
Take minutes, prepare agendas, and coordinate logistics for meetings and internal planning sessions.
Support the Director with ad-hoc business development or marketing tasks as necessary.
Qualifications & Skills
Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative support role.
Previous experience or understanding of the mortgage industry is highly desirable but not essential.
Strong working knowledge of IT Systems/Social Media platforms.
Familiarity with CRM systems and mortgage platforms is a plus.
Excellent organisational and time-management skills with the ability to multitask effectively.
Strong attention to detail and a proactive, can-do attitude.
Professional communication and interpersonal skills, both written and verbal.
Ability to maintain confidentiality and exercise sound judgment under pressure.
