Personal Assistant to DirectorsAre you proactive and can provide a professional and efficient personal assistant and administrative service to our Directors?The CompanyHealthcare Ireland Group is the largest privately-owned and fastest growing Healthcare Company in Northern Ireland. Currently, as part of an ambitious and expanding portfolio of Residential, Nursing and Specialist Care Homes, they operate across 25 sites, providing almost 2,000 jobs and counting. The overall focus of Healthcare Ireland Group is to provide the best service for every resident in their Homes, ensuring a person-centred approach as well as redefining the standard and quality of care across Northern Ireland.The RoleAs a Personal Assistant to the Directors of Strategy and Operations, you will play a vital role in supporting the delivery of day to day operations and high-impact initiatives. This position calls for a values-driven professional who is deeply committed to integrity, compassion, and excellence. You will be entrusted with sensitive information and complex scheduling demands, requiring the utmost discretion, efficiency, and attention to detail.Working closely with our Senior Management Team, you will act as a trusted partner, ensuring that strategic priorities are met with clarity and purpose. Your proactive approach, adaptability, and commitment to person-centred support will directly contribute to enhancing outcomes for our teams, stakeholders, and most importantly, the teams and residents we serve.About the roleMain ResponsibilitiesProvide high-quality, professional administrative support to the Directors of Operations and the Director of Strategy.Manage confidential information and correspondence with discretion, professionalism, and timeliness.Collate data and prepare reports, briefings, and presentations to support strategic and operational priorities.Oversee complex diary management, scheduling and coordinating meetings using Microsoft Outlook, Teams, and Zoom-prioritising appointments and adapting plans as needed.Accurately record, type, and distribute minutes for a range of business and leadership meetings.Act as a welcoming first point of contact for guests on behalf of the Directors and the Senior Management Team.Organise meetings, events, travel arrangements, and accommodation for the Directors, ensuring seamless execution.Handle incoming telephone calls and queries with professionalism and initiative, redirecting or resolving issues as appropriate.Liaise proactively with internal and external stakeholders to coordinate meetings and ensure timely communication and follow-up.Manage email and postal correspondence, drafting responses and prioritising actions in line with urgency and importance.Prepare and format meeting documentation to reflect Healthcare Ireland's values, tone of voice, and high standards.Provide day-to-day administrative support including document printing, production of materials, and raising purchase orders as required.The BenefitsPaid annual leaveThe chance to be part of a growing healthcare companyContinuous professional development and trainingValues-led cultureOpportunities for progressionPension plan (if applicable)Monthly incentives and recognition awardsFree parkingAbout the companyHealthcare Ireland provides care services in an environment where individuality is emphasised and the privacy and dignity of all our residents is recognised.   • Strong interpersonal and communication skills
  • Strong attention to detail
  • Understand how to manage and share information in confidence
  • Exceptional organisation and time-management skills
  • Flexible in approach, resilient, and adaptable to the changing needs of the role
  • Right to work in the UK
  • A minimum of 1 year experience in a similar role in Health and Social Care.
  • Proven experience in MS Office and Abode programmes.
Desired Criteria
  • Hold a full and valid UK Drivers Licence
