As the
Personal Assistant to the Managing Director of Keyline
,
you'll provide full secretarial and administrative support to the Managing Director. You'll be their go-to person, helping manage busy schedules, coordinate meetings, and act as a vital link between leadership and wider teams across the business.
This is a dynamic, people-focused role that requires discretion, agility, and exceptional attention to detail.

Key Responsibilities:
Manage complex and demanding diaries, ensuring accuracy and forward planning.
Coordinate travel arrangements and hotel bookings as required.
Book meeting rooms, organise lunches, and prepare agendas and slide decks for key meetings (e.g. Senior Leadership Board meetings)
Attend meetings as needed (e.g. Board meetings), taking action notes and engaging with wider teams.
Minute HR-related meetings including grievances, disciplinary hearings, appeals, and redundancy consultations.
Act as the first point of contact for Directors for HR system queries, supporting tasks such as transfers, new starters, leavers, and contract changes.
Manage corporate memberships (e.g. golf clubs), booking and liaising with venues.
Order and manage supplies including stationery, PPE, safety shoes, and IT equipment.
Log holidays and lieu days for Directors' direct reports.
Manage inboxes on behalf of the Directors, ensuring timely and professional communication.
Process invoices and maintain accurate records.
Build strong working relationships across the Keyline/TP network including directors, colleagues, and external suppliers.
Provide flexible and reliable administrative support across the wider leadership team as needed.

You'll also have:
Proven experience as a
PA at Director level
in a busy, fast-paced environment.
Excellent diary and email management skills, with the ability to prioritise effectively.
Strong communication and relationship-building skills across all levels.
A proactive, self-motivated approach with a high level of discretion.
Confidence working independently and making decisions under pressure.
Strong attention to detail and a high level of accuracy. Excellent written and verbal communication.
Advanced skills in
Microsoft Office
,
with experience in
Google Workspace
being a distinct advantage.
