Personal Assistant

to support both clinic operations and personal productivity. This is a unique hybrid role that combines healthcare admin and PA task - ideal for someone who thrives in a fast-paced, values-led environment.

About the Role



As our Personal Assistant, you will be the behind-the-scenes powerhouse ensuring everything runs smoothly. This is a hybrid role spanning clinic admin and personal assistant duties, ideal for someone who thrives in a dynamic, fast-paced environment and takes initiative.

Clinic Support Responsibilities



Manage and respond to patient enquiries (email, WhatsApp, DMs) Schedule appointments, follow-ups, and reminders Assist with patient experience workflows and feedback surveys Coordinate practitioner calendars and room bookings Upload and manage Mailchimp campaigns and WhatsApp broadcasts Track KPIs and compile weekly reports in Google Sheets Maintain digital filing systems and clinic SOPs Liaise with suppliers, reps, and service providers Support social media admin (e.g., scheduling posts, managing comments/messages) Occasional reception cover, taking payments, ensuring the clinic is clean and presentable, offering refreshments to patients Supporting team members with preparation of consent forms, prescriptions, and notes Maintaining stock and ordering clinic supplies (consumables, skincare, office items) Coordinating deliveries and managing inventory Supporting team with campaign and marketing admin (e.g. email send-outs, lists) Managing patient loyalty records, review reminders, and birthday messages Ensuring GDPR compliance and maintaining accurate records Filing, scanning, and digital document organisation Assisting in compiling reports and tracking KPIs Tracking membership payments and keeping account balances up to date

Personal Assistant Duties



Manage diary/calendar and flag priorities Organise personal appointments (health, family, home admin) Book travel, events, and reservations Help with inbox triage and task prioritisation Source gifts, products, or research as needed Support content coordination (e.g., eBooks, presentations, media)

Essential



Proven experience as a Virtual Assistant or Executive Assistant Exceptional communication and written English Highly organised with strong time-management skills Tech confident: Microsoft Office, Google Workspace, WhatsApp Web, Canva, Mailchimp, Trello or similar tools Confidential, trustworthy, and self-motivated Able to problem-solve and take initiative without micro-management Comfortable working across UK time zones (GMT/BST)

Desirable



Experience in aesthetics, wellness, or healthcare industries Familiarity with social media tools (Meta Business Suite, Later, etc.) Design or copywriting skills Understanding of CRM systems or clinic software (e.g., Collums, Pabau, Phorest, etc.) Able to attend a second site in Hackney Road

Skills



Excellent communication and interpersonal skills Exceptional attention to detail and time management Strong IT skills - confident using clinic software (e.g. Pabau/Collums/other), Google Drive, all microsoft office programmes, and email marketing platforms Ability to work independently and support multiple team members Experience in a customer-facing or medical/aesthetic environment (desirable) A proactive, can-do attitude and willingness to go the extra mile
