Job Title: Personal Assistant (PA), Sales & Marketing Support

Job Purpose
This role provides high-level support to senior management, assists the sales team with operations, and contributes to marketing and social media activities. The ideal candidate must be professional, discreet, and trustworthy, with the ability to handle highly confidential information and sensitive communications. They will also manage the MDs LinkedIn/Social Media presence and support marketing initiatives.
Key Responsibilities
1. Executive & Administrative Support
Manage diaries, schedule meetings, and organise travel and accommodation for senior management.
Maintain absolute discretion and confidentiality when handling sensitive information, documentation, and conversations.
Prepare presentations, reports, meeting agendas, and take minutes, ensuring confidential records are securely stored.
Handle incoming emails, calls, and correspondence professionally, filtering and prioritising communications.
2. Sales Support & Coordination
Prepare and process sales quotations, proposals, and contracts while maintaining confidentiality of client and pricing information.
Track sales orders, delivery updates, and follow up with clients and internal departments.
Maintain and update CRM systems with accurate client information and sales activity.
Assist in coordinating sales meetings, events, and supporting documentation.
3. Marketing & Social Media Management
Manage and update MDs LinkedIn accounts, ensuring content is professional, brand-appropriate, and timely.
Create and schedule social media content, monitor engagement, and respond to interactions when appropriate.
4. Customer Service & Relationship Management
Act as a confidential and professional point of contact between clients, management, and internal teams.
Build and maintain strong client relationships with discretion and professionalism.
Organise client meetings and events, prepare documentation, and ensure follow-ups are handled efficiently.
5. Reporting & Administration
Assist in preparing sales and marketing reports, KPI dashboards, and forecasts.
Support budgeting, expense tracking, and invoice coordination with finance while maintaining confidentiality of financial information.
Ensure compliance with data protection regulations and internal confidentiality policies.
Skills & Qualifications
Essential:
Proven experience as a Personal Assistant, Executive Assistant, Sales or Marketing Support.
Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
Experience managing social media platforms, particularly LinkedIn.
Excellent organisational, time-management, and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint), CRM systems, and social media tools.
Preferred:
Experience using Canva or similar tools for basic design and content creation.
Knowledge of email marketing software (e.g., Mailchimp, HubSpot).
Previous experience in a sales or marketing environment.
Basic understanding of branding, digital marketing, and lead generation.
