The Faculty of Health, Science and Technology at Oxford Brookes University, led by Dr Astrid Schloerscheidt, is seeking a Partnerships & Placements Administrator, to be appointed as soon as possible.
This is a part time (18.5 hours per week), fixed term appointment covering maternity leave until February 2027 to provide administrative support for health and social care students' placements, working within the Practice Education Unit (PEU), which is a small team of administrators based in the Faculty of Health & Life Sciences.
The role-holder will be expected to support academic teams to organise and manage students' placements, working to strict deadlines and maintaining accurate records needed to support courses regulated by the Nursing & Midwifery Council (NMC) and the Health Care Professions Council (HCPC). The work involves collaboration with a wide range of stakeholders, including academics, students, University administrators and healthcare providers in the NHS and private sector.
Principal duties and responsibilities will include:
Providing high quality administrative support to the academic staff with professional practice and placement responsibilities across a range of areas
Responding to enquiries from students and organisations in the NHS and private sector providing student placements, including acting on your own initiative to research relevant and accurate information to draft emails and guidance
Preparing student placement allocation plans for approval by the academic teams, taking in to account the relevant professional body requirements (NMC & HCPC)
Maintaining accurate placement records, using a web-based placements database, and providing management information reports from the database
Working with databases and spreadsheets to manage, analyse and report on student and placement information
Contributing to the quality control processes for student placements using the placement database's audit and evaluation tools
Continually seeking to develop administrative processes to improve the service, enabling the high-quality standards needed to support regulated courses.
The successful candidate should have:
A-levels or equivalent experience
Previous administrative experience preferably obtained working within a large and complex organisation
Experience of working to strict deadlines in a high-performing team
Customer-facing experience
Demonstrable written and oral communication skills
Good IT skills preferably with experience of using Google Suite and Microsoft Office with good Excel and problem-solving skills
The ability to work effectively on own initiative, making decisions with delegated responsibility; ability to recognise when specialist guidance should be sought from professional colleagues.
