The Planning and Installation Coordinator will support the Head of Planning and Installation across all key activities, including the planning of work, customer site surveys (pre-installation), quality checks (during and post-installation), and decommissioning. The role ensures that products are delivered on time and in good condition, installations are completed to the required standard, and decommissioning sites are managed with full visibility and compliance.
This position will also act as deputy for the Head of Planning and Installation during periods of absence (e.g. holidays or sickness), taking full responsibility for planning and installation activities to maintain a seamless supply process, uphold safety standards, and meet customer requirements.
Duties & Responsibilities
Health & Safety
Adhere to all company policies, prioritising a "Safety First" culture.
Ensure all planned work complies with Health & Safety requirements, including the creation and management of RAMS documentation.
Act as the lead point of contact for Health & Safety policies within the Planning & Installation function.
Communicate directly with site managers on Health & Safety matters when required.
Planning & Coordination
Liaise with Production and Dispatch teams to ensure jobs are completed and dispatched on schedule.
Conduct site surveys (pre-job costing) to confirm requirements and provide clear installation instructions.
Maintain accurate tracking of all planned work, proactively notifying and updating the Head of Planning & Installation of any risks or delays.
Work closely with stakeholders across the business to improve plan adherence, reduce order fulfilment cycle times, and optimise working capital.
Quality & Auditing
Carry out audits of completed work to identify and address issues relating to safety, quality, and cost.
Support continuous improvement by flagging recurring issues and recommending corrective actions.
Decommissioning
Own and manage the decommissioning process, including scheduling, resource allocation, and site tracking.
Training & Development
Liaise with Installation teams and WT Consultancy to ensure installer training sessions are scheduled and completed.
Customer & Stakeholder Communication
Ensure accurate, timely delivery by coordinating with customers, carriers, and internal teams.
Customer communications should be channelled via Account Management, except for direct Health & Safety discussions with site managers.
Data & Inventory Management
Maintain and update databases to track inventory and block management.
Deputising
Act as deputy for the Head of Planning & Installation during absences, ensuring seamless continuation of planning and installation activities.
Qualifications & Experience
Minimum of 1 year's experience in installation planning or management (signage installation experience highly desirable).
CSCS card (essential).
Strong interpersonal and communication skills, with the ability to build effective working relationships across teams and with external stakeholders.
Proven critical thinking abilities, including creativity, analytical thinking, and problem-solving skills.
Basic knowledge of Health & Safety regulations and requirements.
Competent in maintaining records and databases to support planning, inventory, and reporting activities.
Key Performance Indicators (KPIs)
Plan Adherence - percentage of projects (including decommissioning) delivered on time and to agreed schedules.
Site Survey Completion - average turnaround time from request to completion of site surveys.
Block Management Accuracy - accuracy and timeliness of block/inventory data management.
Transport Cost Efficiency - monitoring and controlling transport costs against budget.
Installation Quality - number of non-conformances attributable to incomplete or inaccurate survey information (target: zero).
