Electrics Planning Co-Ordinator

to join our Central Planning team based at the Excel in London.

About the Role


As an Electrics Planning Co-Ordinator at GES, you will play a key role in supporting the Central Planning team, with a specific focus on electrics planning and operations. By following integrated planning processes and ensuring efficient administrative support and seamless communication with internal and external teams, you will contribute directly to the successful delivery of our electric's services at exhibitions and live events.

Key Responsibilities:



Perform daily works order checks, ensuring all instructions from systems such as our integrated Planning and Delivery system Show Build Live (SBL), Clarity and SOP are actioned.

Collating the correct information received from clients and internal stakeholders, typically Electrics Delivery, Client Relations, Service Centre and Finance teams.

Communicate with the Customer Care team and clients to confirm order accuracy and ensure deadlines are met.

Create purchase orders on SAGE X3 and Clarity for labour, materials, stationery, and other resources.

Updating SBL, to ensure all pre-show preparations are completed according to standard operating procedures.

Arrange travel and accommodation for the Electrics and wider team if required.

Ensure correct uniform is ordered, available, and prepared for the teams.

Provide administrative support within the Central Planning when required, including absence and holiday cover.

Actively support the development and enhancement of our planning processes, especially during the rollout of new IT systems.

Ideal Skills and Attributes



Highly organised with exceptional attention to detail

Confident in liaising with internal and external teams

Proactive, with a problem-solving mindset

Able to prioritise and manage multiple projects to meet deadlines

Strong working knowledge of Microsoft Office (e.g. outlook and Excel)

Interested in gaining experience with systems such as SAGE X3, Clarity, SBL and similar planning tools

Willingness to learn and adapt to evolving processes and new technologies

Salary


This role offers a competitive salary, dependent on experience. ?We operate a reward strategy based on our team members receiving a salary that best reflects their experience and skill level.

Hours of work


Normal working hours are Monday to Friday 8.30am - 5pm. ?On occasion you may be required to work evenings and weekends during busy periods to meet the demands of the business.

Annual leave


Our holiday entitlement is 25 days per annum (plus bank holidays and statutory public holidays).
