About the Role
We are recruiting for a highly organised and detail-driven
Planning Coordinator
to manage and plan jobs for our
Site Investigation Engineer teams

This is a key role within our operations team, responsible for coordinating pre-planned and reactive works, allocating resources, scheduling daily field activities, and supporting the delivery of efficient, compliant, and timely services to our clients. You'll act as the central link between engineers, internal teams, contractors, and customers.
Key Responsibilities
Job Management & Scheduling
Review and process daily job requests through the scheduling system
Allocate and dispatch jobs to engineering teams based on availability, skills, and location
Coordinate scheduling for P1/P2/2a/P3 priority levels and ensure timely follow-up
Liaise with internal teams and third parties to confirm job ownership and coordination
Book customer appointments directly via phone, email, or text
Maintain professional and accurate communication with all stakeholders
Job Closure & Reporting
Monitor inboxes for updates and ensure accurate closure of completed jobs
Escalate outstanding issues to management as needed
Raise follow-on works in relevant systems and update job records accordingly
Communication & Collaboration
Manage emails, responding promptly and keeping them well organised
Work closely with engineers to update them on jobs, appointments, and operational changes
Collaborate across business units when joint attendance or cross-discipline support is required
Provide regular updates and reporting to the Operations Manager
General Support
Maintain the "Whereabouts" spreadsheet to reflect operative locations and availability
Follow all company policies and procedures, particularly relating to health and safety
About You
The ideal candidate will:
Have experience in a planning, scheduling, or coordination role (preferably in utilities, drainage, construction, or field-based services)
Be a confident communicator with strong interpersonal and customer service skills
Have excellent organisational and time management abilities
Be proficient in
Microsoft 365
Be proactive, resourceful, and able to work under pressure while managing multiple tasks
Demonstrate professional telephone and email etiquette
Thrive in a fast-paced environment where no two days are the same
Be respectful, reliable, and committed to delivering excellent service
