Job Summary: The Post Room Operative plays a crucial role in ensuring the smooth and efficient operation of the university\'s post room services. This role primarily involves handling incoming and outgoing mail, packages, and deliveries, as well as maintaining accurate records. The ideal candidate for this position will possess a valid UK driver\'s license and demonstrate exceptional organizational skills, attention to detail, and a customer-centric approach.

Key Responsibilities: * Receive, sort, and distribute incoming mail, packages, and deliveries to the appropriate recipients or departments within the university.

  • Process outgoing mail and packages, including packaging, labeling, and arranging courier services as necessary.
  • Ensure accurate and timely recording of all incoming and outgoing items in the university\'s tracking systems or databases.
  • Operate and maintain mailroom equipment, such as postage meters, letter folding machines, and franking machines.
  • Manage and maintain an organized inventory of office supplies and stationery, placing orders as needed to replenish stock.
  • Assist in coordinating and scheduling collection and delivery services, ensuring efficient routing and adherence to deadlines.
  • Handle any mail-related queries, providing excellent customer service to students, faculty, and staff, both in person and via telephone or email.
  • Collaborate with other departments or external vendors to coordinate special mailings, such as bulk mailings or campus-wide distribution.
  • Maintain the cleanliness and tidiness of the post room, ensuring a safe and organized working environment.
  • Adhere to relevant data protection regulations, ensuring the confidentiality and security of sensitive mail and personal information.
Qualifications and Skills: * High school diploma or equivalent qualification.
  • Possession of a valid UK driver\'s license is essential for this role.
  • Previous experience in a similar role, preferably within a university or large organization, is advantageous.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent attention to detail and accuracy when handling mail and recording information.
  • Good computer literacy, including proficiency in using mailroom software, tracking systems, and Microsoft Office applications.
  • Outstanding communication and interpersonal skills, with a customer-centric approach and the ability to interact with individuals at all levels.
  • Ability to work both independently and collaboratively within a team environment.
  • Physical fitness and the ability to lift and move heavy packages or equipment when required.
  • Familiarity with health and safety procedures related to mail handling and the operation of mailroom equipment.
