Role Overview
Temple Electrical Services is a growing electrical contracting business delivering maintenance, compliance, and project works across commercial sites. We are seeking an
Office & Maintenance Coordinator
to support the Office Manager and Contracts Managers with the coordination of planned maintenance works and day-to-day office administration.
This role is key to ensuring maintenance activities are scheduled efficiently, records are maintained accurately, and communication with clients, engineers, and suppliers is clear and professional.
Coordinate and schedule planned preventative maintenance (PPM) and reactive maintenance activities across multiple projects.
Work closely with Contracts Managers to plan maintenance visits and resource requirements.
Liaise with clients, suppliers, engineers, and subcontractors to ensure works are completed on time.
Assist with access arrangements, job updates, and follow-ups.
Administration & Compliance
Maintain accurate records of maintenance works, service reports, and certification.
Assist in managing project documentation and compliance requirements.
Ensure job records and trackers are kept up to date.
Support the preparation of reports and documentation for internal and client use.
Office & Financial Support
Support the Office Manager with general administrative duties.
Assist with job invoicing by ensuring all documentation is received and complete.
Liaise with the Office Manager regarding invoicing and job close-out.
Communication & Customer Service
Provide clear, professional communication with clients and suppliers.
Ensure a high standard of customer service across all interactions.
Act as a point of contact for maintenance-related queries where required.
Continuous Improvement
Contribute to the improvement of maintenance and administrative processes.
Support the implementation of systems and procedures as the business grows.
Skills & Experience Essential
Proven experience in an administrative or coordination role, ideally within the electrical, construction, or building services industry.
Strong organizational skills with excellent attention to detail.
Ability to manage multiple tasks and priorities efficiently.
Excellent verbal and written communication skills in English.
Proficient in Microsoft Office (Word, Excel, Outlook).
Professional, customer-focused approach.
Desirable (Not Essential)
Experience working within the electrical or construction industry.
Knowledge of electrical systems or building services maintenance.
Experience using job management or maintenance software (e.g. WorkPal).
Experience or knowledge of Xero accounting software.
Supervisory or leadership experience.
