We are now seeking a highly organised and experienced Practice Administrator to join our small but dynamic team, supporting the Practice Manager and Consultant Surgeon in ensuring the smooth running of our operations.

The Role
You will be responsible for providing administrative, organisational, and coordination support to ensure patients receive a seamless experience from their first enquiry to post-operative care. This is a varied and fast-paced role requiring attention to detail, confidentiality, and excellent communication skills.
Key Responsibilities:
Act as a first point of contact for patients, hospitals, clinics, and other stakeholders
Manage the main practice inbox, triaging and escalating queries appropriately
Maintain accurate and confidential patient records in compliance with GDPR and healthcare regulations
Coordinate patient appointments, surgical bookings, and follow-up care
Prepare, proofread, and distribute medical correspondence and documentation
Manage the consultant's diary, scheduling clinical and non-clinical commitments
Liaise with hospitals, clinics, and GP practices to ensure smooth booking and care processes
Handle patient queries via phone and email with professionalism and empathy
Support the Practice Manager in operational tasks as required

Essential Skills & Experience
Proven PA, secretarial, or practice administration experience, ideally in healthcare
Excellent Microsoft Word, Excel, and Outlook skills, including diary management
Strong organisational and time-management skills, with the ability to prioritise effectively
Professional communication skills (written and verbal) with a patient-focused approach
Ability to work independently and remotely, maintaining high productivity and attention to detail
Discretion and confidentiality when handling sensitive information

Medical secretary or medical administration qualifications
Knowledge of healthcare processes, terminology, and patient record systems
Experience in a private healthcare or surgical setting

Salary & Progression
Starting from NHS Band 4 equivalent (26,530 - 29,320) and upwards, depending on experience, performance, and responsibilities.
Annual pay progression linked to performance reviews at 1, 3, 6, and 12 months during a rolling probationary period.

Additional Information
Out-of-hours commitment: 1-in-2 "second on-call" rota (low volume; most calls filtered by an external service).
Full training and ongoing support provided.
