Practice Manager



The firm Practice Manager is a management level position playing an integral part in the success of the firm by working closely with clients and staff team across a broad range of tasks.

It is the Practice Manager role to support the Managing and Senior Partner in running the day to day business activities, overseeing office management and compliance functions.

The successful candidate is likely to come from an office management or practice management role within a professional services company such as an accountancy firm or legal practice.

The Practice Manager plays a crucial role in managing the operations and administration of the firm to ensure and maintain a high level of efficiency and professionalism within the firm.

Main Duties and Responsibilities



Manages the day-to-day operations and administration of the firm, overseeing various administrative functions, supporting; Partners, Accountants, Bookkeepers, Payroll Officer and other Team members working in house or remotely.

Oversee and manage all aspects of the accountancy firm's administrative functions, including a broad range of accountancy services, office supplies, equipment, maintenance, and security

Manages equipment, office stationary, services, facilities, schedules and appointments meetings and travel.

Ensure deadlines for client's Self-Assessment, VAT and Company year-end accounts filing and reporting are monitored and fully met.

Responsible for full scope of management system, including processes for on boarding new clients/ Client Engagement , maintenance of client information and filing system for client documents.

Responsible for organising and maintaining client records, data, files and paperwork, and keeping those records up to date.

To offer a range of administrative support to the Team.

Regular communication with HMRC on behalf of the firm and clients.

Inputting new clients details on Tax Calc and ensuring AML compliance.

You may be asked to work on the Practice Accounts which will include invoicing and receipts recording

To support HR Management, pension's admin, contract amendments, new starter inductions, and staff reviews.

Maintains & negotiates firm insurance and compliance documents, including licenses.

To monitor ethical and compliant practices, ensuring that regulations from government bodies (including HMRC and Companies House) and that relevant professional associations requirements are fully adhered and complied with.

Develop and implement office policies and procedures to streamline processes, enhance efficiency.

To support the Accounts Manager in dealing with client's arrears and assisting in chasing debtors.

Establish and maintain organized filing systems for accounting documents, correspondence, and administrative records. Ensuring compliance with document retention and confidentiality policies.

Assist with marketing initiatives, including website updates, social media management, client events, and maintaining client database

Liaise with vendors, such as IT service providers, office suppliers, and maintenance contractors, to ensure timely delivery of services and resolve any issues. Stay abreast of legal regulations and requirements relevant to the accounting firm's operations. Implement and monitor compliance measures to mitigate risks.

Required Skills



Strong organisational and time management skills with the ability to prioritise tasks, meet deadlines and ability to maintain the efficiency and effectiveness of the firm. Excellent communication skills, both written and verbal, to effectively interact with internal and external stakeholders. Attention to detail and accuracy in all aspects of work. Proficiency in relevant office productivity software, Ability to maintain confidentiality and handle sensitive information with integrity. Problem-solving and decision-making skills to address operational challenges and propose effective solutions. Strong leadership skills to manage a team and work collaboratively with senior staff and junior staff. Flexibility and adaptability to multitask, handle a fast-paced work environment, and respond to changing priorities.

Required Qualifications



Relevant qualification in business administration, management, or a related field. Previous experience in management role or Customer Service. Familiarity with financial management and accounting practices. Experience in human resources management, including recruitment, employee relations, and performance management. Strong understanding of technology systems and software relevant to accounting firm operations. Knowledge of marketing and business development practices. Familiarity with accounting ethics and professional responsibility guidelines.
Salary is Negotiable

Job Type: Full-time

Pay: 28,276.19-32,000.00 per year
