Responsibility for the daily smooth running of The Oving Medical Clinic office in close co-operation with colleagues and other members of the clinical team providing a wide range of admin duties and support to the multidisciplinary team. Ensuring that a thorough handover is provided to other part-time/full-time member of staff.
The following are the core responsibilities of the Practice Secretary/Receptionist. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Dealing with patients in a friendly, welcoming and efficient manner, by phone, email or in person
b. Managing and recording of appointments and charges
c. Answering telephone calls
d. Creating clinic letters & correspondence to GP practices and other providers
e. Managing income enquiries, taking payments and follow up queries
f. Support any required activities for the directors
g. Ensure all directors are informed of all relevant matters
h. Support and promote marketing efforts making sure you know about the new products that you are booking including subscription services
i Covering for colleague's absence
j. Handling petty cash
k. Supporting all visiting consultants and practitioners
l. Ensuring the waiting room and other public areas are kept tidy and welcoming to patients during the day. This may involve providing refreshments to patients and the clinical team.
m. Ensure kitchen is kept clean and tidy
n. Opening and closing the clinic safely and securely
o. Sending image referrals to appropriate services
p. Chasing up images/reports
q. Ensure reception area is clean and tidy
r. Register new patients timely and accurately completing all relevant forms i.e. new patient registration forms
s. Attend Team meeting where possible
t. Keep up to date with Team Net ensuring a daily log in
u. There may be an occasional time that a practitioner may run overtime, you will be expected to do your best to stay until the patient has vacated the building.
