Role Summary



You will provide an efficient and professional print service as well as a professional utility mailroom within the Conservatoire. The Print Room exists to advise on copying/ print needs and to ensure that the Copyright License for the Conservatoire is adhered to under the Copyright Publishing Act, covering both music and literature. The Print Room also ensures the smooth operation of the modern equipment within the Department by knowledge of how it works and basic maintenance, as well as advising on new developments in print/publication production.

Main Duties and Responsibilities



You will be required to:

Process all copying, printing, and binding requests from RCS staff and students, as received, either via the central inbox, or in-person requests.

Printing and copying requests can include, but are not limited to:

o Classroom materials

o Scripts and scores (where copyright legislation applies)

o Posters/flyers for RCS affiliated work

o Performance programmes and booklets

o Handbooks

o Meeting papers

Provide accessible copies as appropriate, in line with learning agreements (such as printing on colour paper)

Manage the printer paper stocks for use across the RCS, and monitor levels, providing supplies to other departments as appropriate (e.g. library and IT)

Mail:

o Process outgoing RCS business mail to ensure a reliable and efficient service, whereby any outgoing correspondence will reach its destination on time

o Provide a daily collection service to central departments

o Implement budgetary policies

o Arrange special delivery post

o Collate and process any returned mail

Copyright:

o Ensure knowledge and understanding of copyright and data protection legislation is up-to-date at all times

o Ensure the appropriate copyright check is carried out prior to completing a copy request

o To provide initial guidance and advice to staff in relation to copyright legislation and adherence to these, maintaining a professional service to the Conservatoire.

Maintain confidentiality in relation to all documents handled

Provide good customer services to all service users

Ensure the security of the Print/Mail room and its equipment at all times

Additional work and projects may be allocated by the Trusts Administrator and PA to Director of Finance and Estates as is commensurate with the level of this post and in response to the changing needs of the business. You will be expected to have a flexible and adaptable approach to your workload as business dictates.

A good standard of general education or equivalent experience

Customer service training

Experience, Knowledge and Skills

Previous experience of working in a customer facing role

Experience of working in an interdepartmental and multifunctional environment

Proven customer relations / interpersonal skills

The ability to monitor and prioritise workload

Accuracy and attention to detail

A polite and informative manner

Ability to work as part of a team

The ability to work to tight deadlines, ensuring jobs are delivered on time

Experience, Knowledge and Skills

Previous experience of working within a Higher Education Institution / Performing Arts environment

Ability to liaise with suppliers for technical support and machine maintenance

Ability to liaise with line manager for reports, and to discuss any special requirements and stock levels

Previous experience of working within a print/ mail room function

Previous experience of working with print / mail room machinery

General knowledge of print presentation and print skills

Working knowledge and understanding of copyright legislation and implications in the workplace

Working knowledge of finishing

Working knowledge of finishing procedures such as binding, guillotine, booklet-making, laminating and shredding
