Our Pensions Administration business continues to grow and we are now looking for a Tracing Team Administrator to join our vibrant Reading office with hybrid working. This is an exciting role and would most likely suit someone with previous experience in a similar role where they have gained knowledge and experience of using an analytical approach and research skills.

The Team
The Tracing team are tasked with locating individuals who have lost contact with pensions they have accrued through previous work. We use a variety of resources to do so, including social media, specialist ancestry sites and purpose-made tracing tools.

The Role
As a Tracing Team Administrator with XPS you will:

  • Monitoring the shared Tracing Inbox for client requests and queries
  • Managing client requests and queries in line with varying timeframes
  • Liaising with clients to understand their Tracing requirements
  • Drafting client communications
  • Logging Tracing requests and maintaining the team's Tracing database
  • Tracing at various levels - Forensic, Manual, Overseas, Genealogical
  • Evidencing Tracing work clearly and accurately
  • Inputting member data and presenting data clearly and accurately
  • Peer reviewing / final reviewing emails and Tracing results to be shared with clients
  • Providing constructive and detailed feedback to colleagues
  • Minute-taking for weekly Tracing meetings
  • Assisting with the development of process guides and team development strategies
  • Regularly reporting on work volumes and statistics for MI
  • Importing member information to our member database and maintaining triage cases
  • Using initiative to problem solve and achieve the best possible results
Your profile
Essential Criteria
  • An interest in Tracing and the work that the team does
  • Demonstrable experience of undertaking a research project, either in an educational or work-based setting
  • Demonstrable experience of working in an administrative/office-based environment
  • Excellent organisation skills
  • Attention to detail
  • Strong verbal and written communication skills
  • Strong problem-solving skills
  • A keen eye for presentation
  • A good knowledgebase of geography - UK and overseas
  • A 'can-do' attitude and eagerness to learn
  • A strong sense of initiative and desire to help others
  • Ability to work efficiently independently/remotely
  • Proficiency in Microsoft Office
  • A calm, methodical & process-led approach to managing high volumes of work
  • A demonstrable interest in Tracing / Genealogy
