About the Role
We are looking for an
enthusiastic
and
experienced Private Client Secretary
, ideally with some experience in trusts, to join our friendly, office-based legal team (c. 45 staff) in Stourbridge, West Midlands.
Providing
administrative support to the fee earners
in the
Private Client department
, you will be tasked with a varied range of secretarial and administrative jobs to provide our clients with exceptional levels of care and service.
Responsibilities
Specific Duties:
Opening and creating new files
Dealing with new client enquiries
Creating and updating estate accounts on Excel
Using the Firm's case management system to best effect
Proof reading of documents
Issuing first letters
Attending will signings in or out of the office, along with other client meetings alongside a Partner
Preparing forms on Oyez
Reviewing/progressing the Partner's files in their absence on holiday
Liaising with clients via both email and telephone and keeping them updated as to progress
Booking Commissioners for Oaths
Submitting Land Registry applications online
Sending and receiving letters and emails
Preparing letters, memos and bills
Typing complex documents, including copy typing and audio typing using Bighand dictation software
Filing and general file administration
Searching will registers and safe custody register for documents and files and requesting/obtaining files from storage
Assisting with finance administration on files
Providing PA support to the Partner
Maintaining Partner's diary
Closing files
Covering for other secretaries as required
Any other work as and when required of you
General Duties
Complying with the Firm's various policies and procedures, as set out in the office manual
Ensuring the confidentiality and security of all practice and client documentation and information
Delivering outstanding client care
Experience and Qualifications
Essential
At least two years' experience working within a Private Client legal team
A good standard of English, both verbal and written
Legal right to live and work in the UK
A good standard of computer literacy and experience working with Microsoft Office
Desirable
Audio typing experience
