We are seeking an experienced, detail-oriented Procurement Assistant to join our small but growing food supplement manufacturing company specialising in capsules and tablets. The role supports the Purchasing Manager in sourcing raw materials and packaging, maintaining supplier compliance, and ensuring uninterrupted production through effective procurement and stock control.
Key Responsibilities
Procurement & Supplier Management
Source raw materials, excipients, capsule shells, and packaging from approved suppliers
Request and analyse supplier pricing, lead times and delivery terms
Support supplier negotiations alongside the Purchasing Manager
Assist in sourcing and approving new suppliers and products
Purchase Orders & Logistics
Raise and process purchase orders
Track orders from placement through to delivery at the warehouse
Liaise with suppliers, freight partners, and internal teams to resolve delays or shortages
Manage goods-in processing and documentation
Verify and process supplier invoices against purchase orders and delivery notes
Inventory & Production Support
Monitor stock levels, lead times, minimum order quantities, and shelf life
Support production planning by ensuring material availability
Assist with forecasting raw material and packaging requirements
Manage substitutions and shortages where required
Quality, Compliance & Documentation
Review and verify supplier quality documentation including:
Certificates of Analysis (COA)
Heavy metals, microbiology and allergen statements
MSDSand product specifications
Support supplier approval and ongoing compliance in line with food safety standards
Work closely with Quality and Production teams
Assist during audits (e.g. BRC, Organic, customer audits)
Systems & Records
Maintain accurate purchasing, supplier, and pricing records
Ensure full batch traceability and document control
Support cost tracking and supplier performance reviews
Request and analyse supplier pricing, lead times and delivery terms
Support supplier negotiations alongside the Purchasing Manager
Assist in sourcing and approving new suppliers and products
Required Skills & Experience
Proven experience purchasing raw materials for food supplement / nutraceutical manufacturing
Strong understanding of raw materials, excipients, and their functional activities
Knowledge of EU/UK food supplement regulations and food safety requirements
Experience working with regulated documentation and specifications
Understanding of Incoterms, duty charges and tariff codes
Excellent attention to detail and organisational skills
Strong supplier and customer communication skills
Proficiency in Microsoft Office, particularly Excel
Excellent spoken and written English
