Purpose of the Role




The Production Support Administratorprovides essential support to the Production Manager and the Operations Manager, ensuring the smooth running of daily production, transport, and delivery activities.


This role acts as a central point of communication between production, transport, customers and external suppliers. It involves coordinating schedules, managing delivery and collection notes, and providing accurate operational documentation.


You will play a key role in ensuring that customer orders are delivered on time, production runs efficiently, and information flows accurately between departments.

Key Responsibilities



Delivery and Transport Coordination

+ Generate and issue delivery and collection notes (IDNs) accurately and on time.
+ Coordinate all UK deliveries and collections, liaising closely with customers, the Production Manager, and courier or haulage providers.
+ Provide clear and accurate delivery instructions, ensuring all parties are aware of requirements and timescales.
+ Monitor delivery progress and proactively communicate updates or delays to customers and internal teams.
+ Support route planning and scheduling to maximise efficiency and minimise costs.

Customer & Account Support

+ Act as a key point of contact for customers regarding delivery timings, logistics queries, and order status.
+ Maintain accurate customer records and ensure proactive communication on delivery progress and any changes.
+ Support with preparing order documentation, invoices, and confirmation of dispatch or receipt where required.

Production Administration

+ Provide administrative and coordination support to the Production Team to ensure materials, components, and documentation are tracked effectively.
+ Coordinate and monitor outsourced production work, ensuring third-party suppliers receive accurate instructions, specifications, and delivery schedules.
+ Liaise with external suppliers to track progress, confirm completion dates, and ensure quality and delivery expectations are met.
+ Assist with production-related reporting, updating daily progress trackers, and ensuring accurate completion of paperwork.
+ Liaise with production supervisors to confirm job readiness and status for dispatch.
+ Ensure that all production and logistics paperwork is filed, stored, and retrievable for audit and customer reference.

Cross-Departmental Coordination

+ Support the Operations Manager with cross-departmental communication, helping to align production, transport, and sales priorities.
+ Support daily and weekly planning meetings with updated delivery and production data.
+ Assist in identifying process improvements to streamline operations, communication, and documentation flow.
+ Provide cover for operational or administrative colleagues when required to ensure business continuity.

Health, Safety & Compliance

+ Ensure that all documentation and delivery processes comply with health and safety and quality standards.
+ Report any incidents, near misses, or transport-related issues to the Operations Manager promptly.

About You



Highly organised, methodical, and able to work calmly under pressure. Strong communicator with confidence to liaise with internal teams, customers, transport partners and external suppliers. Excellent attention to detail, ensuring documents and delivery notes are always accurate. Practical understanding of manufacturing or logistics environments. Proactive problem solver with a focus on getting things done efficiently and correctly. Team player, willing to support colleagues across production, operations, and administration.

Qualifications / Experience Required



Previous experience in an operations, logistics, or production administration role (manufacturing environment preferred). Experience liaising with external or outsourced suppliers to coordinate work or deliveries Good working knowledge of Microsoft Office (Excel, Word, Outlook) and experience with order-tracking systems. Understanding of transport coordination and delivery scheduling processes. Strong written and verbal communication skills. High level of accuracy and attention to detail. Knowledge of Health & Safety and quality procedures relevant to production and logistics.
