Position Overview

We are seeking a dynamic Programme Admin to support our strategic J&J global account within Real Estate Management Services. This hybrid role combines programme operations support with administrative coordination responsibilities, requiring a professional who can operate effectively across multiple disciplines while driving excellence in client service delivery across EMEA markets.



Hybrid working arrangement based in:

London, UK | Belgium | Switzerland



Key Responsibilities

Programme Operations & Account Management

Provide day-to-day operational support for global account operations across multiple EMEA markets

Work closely with Account Directors and Service Line Leads to support account plan development and execution

Maintain comprehensive account administration including contract management, invoicing coordination, and compliance tracking

Monitor and analyze account performance metrics and EMEA KPIs, identifying opportunities for optimization

Oversee account administrative processes including vendor management and purchase order processing

Performance Management & Reporting

Produce and maintain regular and ad-hoc MI for Quarterly Business Reviews (QBRs), Account Monthly Management Meetings, and leadership meetings

Develop and manage Action Plans resulting from Global Client Satisfaction Feedback

Prepare and deliver comprehensive reports, presentations, and strategic updates

Maintain Action Log of management activity across the account including actions arising from country visits

Communications & Stakeholder Management

Facilitate effective communication between global account teams, clients, and internal stakeholders

Coordinate and administer client meetings, including agenda preparation, logistics management, and follow-up documentation

Maintain communication plan for key client stakeholders

Working with Global Account Communications team, coordinate regional communications activities and events

Project Coordination & Strategic Support

Lead and coordinate strategic projects across multiple markets and service lines

Support strategic business initiatives and account-wide projects from development through successful execution

Coordinate cross-functional initiatives between regional teams and global stakeholders

Oversee EMEA Innovation process and partner with Innovation Directors to share innovations from other JLL accounts

Service Delivery Support

Support 'Fire Drills' to manage complex service issues, identify root cause analysis and implement remediation action plans

Monitor account and service risks, supporting appropriate mitigation measures

Support implementation of standardized processes and best practices across the global account

Administrative Excellence

Coordinate comprehensive travel arrangements for account leadership team including international flights, accommodations, and visa requirements

Process and reconcile expense reports ensuring compliance with company travel policies

Maintain accurate account databases, client contact directories, and service delivery documentation

Required Qualifications

Experience

5+ years of experience in corporate real estate services or related field with proven administrative and operations support experience

Proven track record in account management or client services within a global organization

Experience in driving change management plans and setting up new services

Experience supporting strategic planning and business development activities

Skills & Competencies

Strong analytical and strategic thinking capabilities

Exceptional organizational skills and capacity to prioritize in complex, fast-paced environments

Excellent written and verbal communication skills in English (additional European languages preferred)

Advanced proficiency in Microsoft Office Suite, particularly PowerPoint and Excel

Experience with document management systems, CRM platforms, and project management tools

Ability to work effectively across multiple geographies, cultures, and time zones

Proactive and self-motivated with ability to work independently

Strong relationship builder with excellent interpersonal skills

Preferred Qualifications

Bachelor's degree in Business Administration, Real Estate, or related field

Professional certifications in project management (PMP) or real estate (CoreNet, RICS)

Multilingual capabilities (German, French, Dutch, or Italian)

Knowledge of European real estate markets
