Role Overview:
We are seeking a highly organised and proactive Project Administrator to provide crucial support to our project teams. This role will be responsible for a wide range of administrative tasks, ensuring the smooth and efficient delivery of our projects. The ideal candidate will be detail-oriented, possess excellent communication skills, and be able to manage multiple tasks simultaneously in a fast-paced environment. This role requires meticulous attention to detail and the ability to prioritise effectively to meet deadlines.
Key Responsibilities:
Drafting engagement letters.
Completing pre-survey questionnaires with homeowners/landlords.
Liaising with homeowners/landlords to schedule surveys and installations.
Pricing properties based on information provided by surveyors.
Maintaining organised paper and digital filing systems for each project.
Creating homeowner agreements and contacting homeowners/landlords to retrieve agreements and choices.
Complete compliance reviews ahead of ordering products.
Raising and tracking purchase orders for all necessary project materials.
Liaising with suppliers to ensure timely delivery of materials.
Adding jobs to the job management system with the relevant documents and ensure timely scheduling.
Preparing and sending handover packs to relevant parties upon completion of installations.
Reporting on project status and identify potential bottlenecks.
Any general administration duties required by the wider team.
Qualifications & Experience:
Experience in an administrative role preferred, ideally within a project-based environment.
Excellent organisational and time management skills with the ability to prioritise tasks effectively.
Strong attention to detail and a high level of accuracy.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
A proactive and problem-solving approach.
