Project Administrator



OX Living is seeking a highly organised and proactive Project Administrator to join our growing property development and lettings business based near Bicester.

This role is ideal for someone who thrives on being organised, enjoys keeping projects running smoothly, and has exceptional attention to detail. As a key support within our Development Team, you will play a pivotal role in coordinating information, tracking progress, and ensuring multiple projects remain compliant, well-organised, and on schedule in a fast-paced environment.

Reporting into the Head of Operations, you will be comfortable working collaboratively as part of a close-knit team, while also being confident managing your own workload, prioritising tasks, and taking ownership of day-to-day administrative responsibilities.

We are a fast-growing property development and management company specialising in high-quality shared homes (HMOs) across Oxfordshire. We currently own and operate 70+ properties and acquire and refurbish around one new property every month.

We're known for raising standards in shared living -- not just through good design, but through strong systems, compliance, safety, and resident experience. We manage everything in-house, from development and refurbishments through to lettings and ongoing operations.

As we look toward 2026, our focus is on expanding our portfolio across Oxfordshire. As Project Administrator you will play a crucial role in this continued growth.

Responsibilities include:



Monitoring the new project sourcing and sign off process Onboarding a new project onto our systems Liaising and monitoring all current planning applications and ensuring our internal dashboards and project information is keep up to date Preparation, execution and record keeping of project contractual documentation Registering projects with Building Control Document management - filing and organisation of building control reports, planning drawings, contracts, invoices, photographs, insurance policies etc on Google Drive and Monday.com Ensuring all internal files and dashboards are kept up to date for all projects and existing property information Liaising with other teams, such as Operations and Finance on a regular basis Ordering of goods to furnish and style our new properties working closely with colleagues to ensure the properties are finished to a high standard Attendance and contribution at weekly team meetings to provide updates and trouble shoot Other ad hoc administrative duties as and when required

Must Haves:



At least 3 years of administrative experience Proficient in MS Word, Excel and Google Mail High attention to detail The ability to work quickly and effectively under pressure and produce a high standard of work with strong attention to detail.

Desirable but not essential:



Experience of the property and or construction sector Experience of using the project management software, Monday.com

Hours:

37.5 per week (full time) We will also consider Part-Time 30 hours for the right candidate.

Salary:

28,000 - 30,000 per year dependent up on experience
