Job purpose: To provide a highly effective administrative support to the HV Earthing / Power Systems design teams within the business and undertake delegated duties as required.
Exciting opportunity to be a part of a growing, vibrant team in a multi-disciplinary engineering survey and design consultancy, delivering projects in mission critical sectors such as rail, transport, data centres, nuclear and utilities.
Work alongside the Management Team's EA and be responsible for managing processes and procedures to support the efficient management of the projects.
Provide holiday and sickness cover for other office administration team members.
The role is both demanding and fast-paced requiring a candidate with a high level of organisational competence, professionalism and confidentiality. Excellent interpersonal skills combined with a persuasive and professional attitude to ensure the company is represented with integrity and professionalism.
Key responsibilities:
Support the administrative function for projects - including PQQ co-ordination, project database updates, preparation and production of minutes / reports, survey arrangements and provision of administrative assistance for the duration of the project.
Appropriate document control, filing emails and attachments to relevant project folders.
Arrange meetings for the Project Teams as needed.
Support the Project Teams in tracking and meeting deadlines.
Manage a project database and resource tracker with inputs from Project and Management Teams.
Respond to external clients where appropriate, follow up with assigning actions to the Project Teams, and track closing of actions.
Support document control process for tender and design submissions by the Project Teams.
Assist in the development and management of processes and procedures to support the efficient management of administrative services in relation to maintaining ISO 9001, 14001 and 45001 and Railway Industry Supplier Qualification Scheme (RISQS) certification.
Book travel for site visits in the UK and Europe and for team members where requested.
Balance the needs of planned work whilst reacting to ad-hoc requests and managing expectations of others through effective communication.
Liaise with the Management Team's EA and other administrators across the company to ensure good communication and administrative operations between all parties.
Any other duties reasonably required of the post-holder following consultation.
Essential Skills for this Post:
Experience of Project Administration and/or document control.
Highly proficient IT skills including competence in MS Excel, PowerPoint and Word.
Excellent communication skills, fluent in both written and oral English.
Able to demonstrate high levels of confidentiality and discretion.
Accuracy and attention to detail.
Salary: approx. 25-30k
