Your tasks




The Project Administrator supports the project management team in the smooth planning, execution, and delivery of projects across the Huber+Suhner Polatis business. The role provides essential administrative support, maintaining project documentation, managing financial processes, and ensuring effective communication among the team. Through the provision of administrative support the Project Administrator enables Project Managers to focus on achieving project objectives.



Working across projects, the Project Administrator will:

Assist in the preparation and co-ordination of project plans and budgets. Create and maintain appropriate reports and dashboards for the project management team and project stakeholders. Maintain project resourcing tools and support team leads and project managers in keeping resourcing information up to date. Support project managers in set up of project documentation, communication channels and document storage. Track and maintain project cost records and cost management tools, including timesheets, production orders, and purchase orders, and assist the project managers in validating whether costs align with project budget. Raise purchase orders and requests for production support. Support Project Managers in managing & tracking change requests. Assist Project Managers with re-planning, re-approval, and re-baselining of projects. Maintain comprehensive project documentation, including meeting minutes, reports and correspondence. Follow up on outstanding tasks and actions to drive them to a close. Provide administrative support in organising meetings, preparing presentations and tracking project milestones. Coordinate with the Finance Team to ensure timely and accurate invoicing and payment processing. Contribute to developing & implementing improved and streamlined processes for all project management areas of responsibility.

Your profile




Essential:



Relevant experience in a technical project administration or coordinator role Excellent capability with Microsoft Office tools, including advanced Excel skills Strong organisational and time management skills, with the ability to prioritise effectively Self-motivated and confident with a proactive approach to identifying and resolving issues Able to communicate confidently and effectively with people at all levels, verbally and in writing Comfortable working in a high pressure environment, negotiating ambiguity and dealing with changing priorities Ability to handle confidential information with discretion Able to work effectively as an individual and as part of a globally distributed team Able to work in the Cambridge office


Desirable


Experience with Jira, MS Project and Planner, PowerBI, SAP and Coupa Project Management qualification Track record of working in an engineering environment Experience of contributing to process improvement and providing proposals to increase efficiency and effectiveness in a project environment
