Overview


We are seeking a detail-oriented and organised Project Administrator to join our dynamic team. The ideal candidate will play a crucial role in supporting project management activities, ensuring smooth operations, and providing administrative assistance across various functions. This position requires strong communication skills, proficiency in office management software, and the ability to handle multiple tasks efficiently.

Duties



This is a varied and challenging role where you will be integral to the smooth running of our projects. Your key responsibilities will include:

Assist in coordinating project activities and schedules to ensure timely completion of tasks. Manage front desk operations, including greeting visitors and handling inquiries. Provide exceptional customer service and support to clients and team members. Maintain organised filing systems for project documentation and records. Managing and organising project-related documentation, including delivery notes, purchase orders, engineers reports and other essential paperwork. Perform data entry tasks accurately and efficiently using Microsoft Office. Managing incoming purchase orders from our valued customers, processing them accurately, and issuing timely order acknowledgements. Liaising with suppliers to source and procure materials at competitive prices, maintaining strong working relationships. Efficiently and accurately processing purchase orders for materials and equipment, ensuring timely delivery to our sites. Proofread documents for accuracy and clarity before distribution. Support bookkeeping activities as needed, including managing invoices through. Collaborate with team members to ensure effective communication and project updates. Taking charge of our stores, including unloading deliveries, and organising materials for projects. Utilise strong organisational skills to prioritise tasks and manage time effectively. Providing comprehensive administrative support to the contracts managers and site teams, including handling phone calls, responding to emails, and other ad hoc duties as required.

Requirements



We are looking for a candidate who is a natural organiser with a keen eye for detail. The ideal individual will possess:

Experience in an administrative role with clerical responsibilities is highly advantageous but not essential.. Experience within the construction or M&E industry is highly advantageous but not essential. Familiarity with office management practices, including front desk operations. Strong IT skills, with proficiency in Microsoft Office Suite (Word, Excel, Outlook). Strong typing skills with attention to detail for data entry tasks. Excellent communication and interpersonal skills, with the ability to build rapport with colleagues, suppliers, and clients A proactive and 'can-do' attitude, with the ability to work independently and as part of a team. The ability to multitask and prioritise a busy workload in a fast-paced environment. A full UK driving license is desirable due to the nature of the role, which may require occasional travel to our sites.
