On Behalf of Arup, we are looking for a

Project Administrator

for a

3-month

contract based in

London - on a hybrid working model.



Purpose of the role:



The Project Administratorwill provide organised and reliable administrative and coordination support to ensure the PMO runs smoothly and successfully supports the delivery of Programme. This role will support the PMO Support role in their day-to-day support for the Programmes leadership and delivery team, focusing on both deadlines and quality.

What you'll do:



Work with PMO Support to agree work allocation and personal delivery deadlines. Complete administrative PMO tasks, such as diary management, agenda distribution, minute-taking, action follow-ups and document version control. Co-ordinate with the programmes stakeholders to organise their participation in key meetings and programme activities, and to ensure they receive timely and accurate information. Assist in setting up and maintaining PMO documentation, templates, trackers, and document filing. Ensure the Programme Teams/Sharepoint filing is up to date and accessible to everyone that needs it. Support with the collation of programme reporting for Programme Board and leadership, under the oversight of the PMO Support. Assist with scheduling, logistics, and coordination of meetings, workshops, and reviews. Maintain project calendars and make requested updates to PMO-owned trackers/logs. Follow-up on invites when required to ensure good attendance at key meetings for the programme. Help with timesheet data collection and monitoring and preparing resourcing reports.


The skills you'll need:



Previous administration experience ideally in a project function. Organised with attention to detail. Someone who is pro-active and productive once they understand the task by hand. Strong multitasking skills. Professional and accurate written communication skills.
