Main purpose of job:
The main responsibilities will be to support the Project Managers in delivering client needs for all exhibition and event requirements. This will involve attending client meetings, brief taking and preparing tenders to pitch to clients. You will be working with our in-house Design, Project Management and Production Teams to Design, Manage, Make and Install exhibitions stands. This will require strict time management of jobs from start to finish to meet tight deadlines, including Health & Safety submissions, working with suppliers, installation planning and coordination. We currently have various positions available for candidates with experience within the Exhibition Industry.
Key Responsibilities
Project Administration & Coordination
Set Up -
Setting up of project folders on mail/server systems to initiate projects.
CRM -
Update & maintain CRM systems with client and project details, including contacts, stakeholders and assets.
Meetings -
Schedule & document meetings, including client and design team briefings, preparing agendas, timelines and summary reports.
eBooks -
Populate & manage project eBook documents, ensuring all relevant details (crew, supplier orders, client info, event schedules) are added and distributed to relevant teams.
Health & Safety -
Support the creation & submission of health & safety documentation, such as Risk Assessments, Method Statements and Compliancy Documents to meet organiser deadlines.
Supplier and Subcontractor Coordination
Suppliers
- Assist in communicating with suppliers for Quotes, Purchase Orders, and Invoices for services such as Internet/WiFi, Furniture, Electrical, Stand Cleaning, and Transport.
Subcontractors -
Supporting with the booking of subcontractors from approved lists, verifying hours worked, ensuring invoices are accurate.
Couriers -
Coordinate with couriers for deliveries and returns of client merchandise and supplier materials pre- and post-show
Crew and Logistics Support
Arrange Crew Travel, Accommodation, and Logistics, including booking flights, trains, ferries, and parking, and adding details to Team Track and eBooks
Support the scheduling of on-site and off-site crew activities, including pre-build and installation tasks, and verify timesheets.
Ensure crew compliance with venue requirements, such as arranging contractor passes, PPE checks, and site inductions.
Onsite and Event Support
Assist in coordinating onsite services, such as stand cleaning, furniture, forklift handling, and empties storage, ensuring all details are documented and communicated.
Support the Project Manager during installation and breakdown, including liaising with venue suppliers for services like electrical, handling, and traffic management.
Help prepare handover documentation for client and crew handovers during installation and breakdown.
Finance and Quotation Support
Assist in preparing and sending quotes, chasing purchase orders, issuing invoices, and tracking payments in collaboration with the Project Manager and accounts team.
Support budget tracking by organising supplier cost documentation and ensuring costs align with project budgets
Marketing and Post-Show Support
Work with the in-house media team to coordinate content capture plans, upload photography to servers, and populate marketing boards
Assist in post-show reviews, documenting feedback from clients and crew to improve future projects.
Candidate Requirements:
1.
Industry Experience -
Experience of working within the exhibition industry
2.
IT Skills and Literacy -
A proficient user of Microsoft (or equivalent) product suite and tools i.e. MS Teams, Word, Outlook, and Excel.
3.
Task Management -
Previous experience of using a Task Management System to manage day to day and future tasks with a deadline.
4.
Purchasing Systems -
Prior experience of Purchasing/Buying a variety of different products and services using PO systems.
5. Full UK Driving License and Valid Passport for European travel
6. Experience of working in a fast-paced environment and meeting tight deadlines.
7. Self-motivated and able to work under your own initiative to deliver projects.
8.
Communication Skills -
Strong verbal and written communication skills - being able to work with all manner of different suppliers, partners, and internal colleagues, with the ability to read and adapt to different situations.
