Trapeze is looking to appoint an experienced Project Coordinator to lead the delivery of several medium sized projects. These projects are to be delivered to an existing client base in the transport sectors. This role is permanent, and it is expected that more medium and large projects will become part of the remit. This role would be suitable for someone looking for that next step in their career as a Project Coordinator and looking for an opportunity to progress to Project Manager.

The Project Coordinator will deliver project management services and lead in the coordination of tasks for the team delivering product implementation, training and consultancy services. You will also work closely with the Customer Care and Sales teams, contributing to the presales process for larger proposals through the estimation of project costs. You will support Finance team delivering WIP and GAP analysis for senior management reporting.
YOUR RESPONSIBILITIESManagement of implementation and consultancy resource, focusing on project delivery compliance.
Generation of small orders through rigorous project change control.
Activities leading to the successful delivery of complex projects, including but not limited to:
+ Creation of initial project plan, capturing all delivery requirements that when scheduled include all key milestones, activities, and resources.
+ Strong Project Governance such that stakeholders are being managed, delivery milestones are being achieved, procurement is instructed at appropriate times, risks and changes are being effectively controlled.
+ Project documentation prepared to ensure adequate governance during the lifecycle of the project.
+ Identifying process improvements designed to drive best practice and operating efficiencies.
ACCOUNTABILITY
CustomersEnsure that projects are delivered to the agreed project plan and that all deliverables are tested, completed and documented.
Ensure that all projects are properly initiated, including the production of project plans and client approval of all requisite documentation.
Manage Issues and Risk Registers and associated project documentation throughout the duration of the project.
Ensure delivery and sign-off of all contractual requirements.
Proactive management of contractual deliverables to prevent scope creep.
Ability to report progress accurately through check point and tolerance reports.
Provide clients with a primary contact throughout the duration of the project.
Participate in scoping and documentation of client requirements.
Financial management of projects including facilitating payment and earnings according to pre-agreed schedules.
Business UnitEnsure that all projects under your control are managed efficiently and delivered on time and within budget.
Liaise with sales team to ensure that the professional services required for the implementation of a proposed system has been accurately defined and quantified.
Produce realistic project plans and set appropriate milestones.
Lead regular contract and project reviews to ensure that the customer requirements can be met, taking minutes of actions agreed and noting any issues.
Own the quality procedure for the project delivery and ensure that appropriate governance records exist to demonstrate that it is being followed.
Create quality plans were required.
Liaise with department managers to plan and coordinate resources involves in the projects.
Keep accurate and up to date financial overview of project delivery during the project lifecycle.
Keep up to date with new software and hardware developments.
Collate system acceptance and testing criteria for agreement with the customer prior to the scheduled dates.
Proactively collate and submit weekly and monthly financial management returns to support the billing and forecasting process.
TO BE ELIGIBILE YOU NEEDProven experience as a Project Coordinator delivering multiple projects simultaneously; desirable to have experience with the delivery of software implementation and internal software development projects
A willingness to gain Prince2 and ITIL qualifications
Desirable to possess specific transport software industry knowledge.
Desirable to have a broad knowledge of the public transport market.
Awareness of technical project management and delivering complex end-to-end technical systems/solutions.
Excellent communication and interpersonal and team building skills
Strong client relationship building skills.
Exceptional negotiating skills.
Experience of specifying project costs.
Willing to travel both domestically and internationally, e.g., to attend customers and collaboration events.
Desirable to be educated to degree level or equivalent
