Project Coordinator - JLL Project Services




Contract:

Fixed Term - 6 Months



Position Overview




JLL Project Services is seeking a detail-oriented Project Coordinator to support our strategic partnership with Rolls Royce across their global real estate portfolio. This role will provide essential project coordination and administrative support for workplace transformation, facility optimisation, and capital improvement initiatives.


What you will be doing




Assist Project Managers in planning, executing, and monitoring multiple concurrent projects across Rolls Royce facilities Maintain project schedules, track milestones, and coordinate deliverables Facilitate communication between internal teams, Rolls Royce stakeholders, and external vendors Prepare and distribute project status reports, meeting minutes, and documentation Review and approve timesheets for project team members and subcontractors in accordance with project budgets and approval authorities Raise purchase orders for materials, services, and equipment in compliance with JLL and Rolls Royce procurement procedures Set up and onboard subcontractors, including contract execution, insurance verification, and system access provisioning Process invoices, track expenditures, and maintain budget reconciliation Coordinate project meetings, site visits, and stakeholder presentations Maintain project documentation, filing systems, and version control Maintain project databases and reporting systems Manage subcontractor setup process including prequalification, documentation collection, and system registration Coordinate subcontractor schedules and deliverables, invoicing, monitor subcontractor performance and compliance with project requirements Serve as primary point of contact for routine project inquiries Support client relationship management with Rolls Royce facility teams Coordinate with JLL service lines including Project Management, Design & Build, and Workplace Solutions Ensure project deliverables meet JLL and Rolls Royce standards Support compliance with health & safety protocols and quality assurance processes Verify subcontractor insurance, certifications, and regulatory compliance Assist with project close-out activities and lessons learned documentation

What we'll need from you




2-4 years of project coordination or administrative experience

Experience with purchase order systems and financial approval processes

Knowledge of subcontractor onboarding and vendor management

Proficiency in Microsoft Office Suite and project management software Strong organizational and communication skills Experience in construction, engineering or facilities management.
