Job Description

The Workspace Consultants LLP is a dynamic and growing consultancy specialising in workplace strategy, design, and furniture procurement. We work closely with clients, suppliers, and contractors to deliver outstanding workplace solutions from initial concept through to final installation.

We are currently seeking a

highly organised, proactive and detail-oriented Project Coordinator

to join our team. This role is integral to the successful delivery of our projects, providing essential support to project managers, clients, and senior management alike. The ideal candidate will be confident, collaborative, and able to manage multiple tasks in a fast-paced environment with professionalism and accuracy.

Position Overview:



As Project Coordinator, you will be responsible for day-to-day project administration, procurement support, scheduling and logistics, and assisting with on-site coordination. You'll also act as a central point of contact between internal departments, suppliers, contractors, and clients--ensuring information is communicated clearly and deadlines are met.

This is an office-based role located in our Elsworth office near Cambridge.

Previous administrative experience is essential.



Key Responsibilities:



Procurement & Supplier Liaison



Obtain and collate pricing from suppliers and manufacturers Request updated price lists and product information Raise and manage purchase orders using PO templates Check and file supplier order acknowledgements

Project Administration



Prepare and maintain standard templates for quotations, POs, and invoices Support the finance team with invoice preparation and dispatch Maintain accurate and up-to-date project records and filing systems Download and manage key project documents including programmes, site drawings, and supplier specs Liaise with project managers to chase updates on costs, orders, and outstanding actions

Scheduling & Logistics



Produce delivery and installation schedules Coordinate site deliveries with suppliers and installation teams Book demo furniture, showroom tours, and arrange sample/fabric packs Create and distribute job packs for installation teams Complete pre-install surveys and check site access routes

On-site Presence & Support -

where required

Attend site for installations, supplier visits, and snagging Conduct site surveys with suppliers Support move management and furniture installs

General Office Support



Answer incoming phone calls and provide first-line support Assist with general office duties and internal coordination Provide cover for colleagues during holidays or annual leave Ensure all documentation is saved and organised in line with company processes

Skills & Attributes:



Strong written and verbal communication skills Excellent organisational skills with exceptional attention to detail Ability to prioritise and manage multiple projects simultaneously Confident and professional when liaising with suppliers, clients, and contractors Proficient in Microsoft Office applications: Word, Excel, Teams, and Outlook Comfortable working both independently and as part of a small team Positive and proactive attitude with a willingness to learn and support others

Desirable Experience:



Experience working in a fast-paced administrative or project coordination role Previous exposure to the workplace design, fit-out, or furniture industry (preferred but not essential) Familiarity with document management and supplier/client communications Experience supporting project managers or operational teams
