We're looking for a highly organised and customer-focused Project Coordinator to join our digital agency on a fixed-term contract, covering maternity leave for approximately 12 months.
In this role, you'll support the delivery of website projects and act as a key point of contact for customers and internal teams. You'll coordinate requests, track progress, support timelines, and keep communication clear between clients, designers, developers, and stakeholders. This is a coordination-focused role and does not require hands-on design or development experience.

The role
As Project Coordinator, you will help ensure website projects run smoothly by managing requests, setting-up projects, maintaining documentation, and keeping everyone informed.
Day-to-day responsibilities will include:
Client & Stakeholder Support
Act as a primary point of contact for website-related client enquiries and support requests
Communicate clearly with clients to clarify requirements, provide updates, and manage expectations
Relay technical information in a clear, client-friendly way
Lead regular client communication, including progress updates and walkthrough coordination
Project Coordination & Delivery
Lead the coordination of template and bespoke website projects
Log, triage, and track incoming requests to ensure timely resolution
Set up projects, including gathering requirements and organising assets
Liaise with designers, developers, and internal teams to ensure tasks are scoped and scheduled appropriately
Help ensure project timelines, milestones, and dependencies are kept up to date
Share relevant progress updates with internal teams and clients
Project Administration & Tools
Maintain accurate project documentation, status updates, and reporting
Support task creation and management within project management tools (eg Wrike)
Assist with managing project folders, documentation, and shared resources
Support quality assurance processes, including coordinating feedback and testing windows
Identify recurring issues or improvement opportunities and provide feedback to the team
Process & Team Support
Support process improvements to enhance project efficiency and client experience
Assist with updating guides, templates, and internal documentation
Support internal project wash-ups and team coordination where required
Communicate clearly with clients to clarify requirements, provide updates, and manage expectations
Relay technical information in a clear, client-friendly way
Lead regular client communication, including progress updates and walkthrough coordination
Essential Skills
Strong customer support or client-facing experience, with a helpful and professional approach
Ability to manage, prioritise, and track multiple requests simultaneously, as demonstrated in a similar project coordination role
Excellent written and verbal communication skills, with the ability to explain information clearly
Strong organisational skills and attention to detail
Client-focused mindset, with the ability to build positive working relationships
Confidence in gathering requirements and clarifying client needs
Ability to follow processes and document actions accurately
Collaborative approach, working effectively with internal teams and stakeholders
Problem-solving mindset, with the ability to escalate issues appropriately when required
Comfortable using multiple systems and tools, with a willingness to learn new technologies
Desirable skills
Basic understanding of websites and digital project workflows
Familiarity with content management systems or website support environments
Confidence discussing technical concepts with non-technical users
Experience using project management or ticketing tools (i.e. Wrike, BugHerd, Harvest, etc)
Working hours:
Our standard full-time hours are 8:30am - 5:00pm Monday to Friday. We are also willing to accept applications from candidates who require more flexible working.
