What are we Looking For?

Hours of Work:

37.5 hours a week, Monday to Friday (between our operating hours of 8am to 6pm)

What is the Role?




As the Project Coordinator, you will play a pivotal role in coordinating, organising and scheduling multiple workstreams and resources in relation to Sales Orders. You will deliver, and be accountable for all coordination activities including ordering, resource scheduling, cancellations, migrations, supplier & stakeholder engagement and communication.

Key tasks:



Accountable for the successful delivery and customer experience for your assigned projects and sales orders Be the single point of contact for your assigned projects and or sales orders, hand-holding the customer throughout the delivery process to ensure all projects and sales orders are delivered on-time, on-budget with minimal heavy lifting for the customer Utilise our Sales and Projects CRM; HubSpot for scheduling tasks, organising workloads and progressing with sales orders and projects Maintain continuous communication with customers, providing regular updates, organising and attending review meetings and managing expectations effectively. Address and resolve issues promptly, ensuring customer requirements are met according to agreed implementation dates Maintain open dialogue with internal & external customers regarding issues relating to projects & sales orders that may need intervention from other stakeholders Develop and maintain relationships with key suppliers, understanding best practices and pro-actively utilising them when we have resource constraints. Maintain accurate records within HubSpot for all communication and documentation relating to a sales order and or project. Work closely with dbfb finance team to ensure they are continually updated with billing milestones throughout the project and or sales order journey. Pro-actively coordinate internal resources such as engineering to ensure tasks are completed, follow up activities such as communication and documentation has been actioned and recorded in HubSpot. Monitor and evaluate the quality and efficiency of the sales order delivery process, identify and communicate improvements to the Senior Project Coordinator and Operations Director.

Experience



Previous experience in a Project Coordination/Delivery role essential, within IT and Telecoms industry would be advantageous. Proven record of coordinating Projects within timescales and budget Demonstrable results in working on multiple tasks at a time, while maintaining attention to detail. Experience in coordinating across multiple platforms and resources within tight deadlines Experience in effective communication with a variety of audiences (sales team / customers / suppliers / C-Level stakeholder) Exceptional user of MS Office products, particularly Excel

Qualifications



Prince II Foundation, or ambitious to undertake this training GCSE Maths and English Language Grade C or above (or recognised equivalent qualification) Full and clean driving licence
