Job Overview


We are seeking a highly organised and proactive Project Coordinator to join our fast-paced team. This role is integral to supporting the delivery of multiple high-volume, short-turnaround projects across our signage and fit-out operations. The ideal candidate will excel in balancing daily operational demands, coordinating stock and supply, managing site-specific requirements, and maintaining clear communication across internal teams and external stakeholders.

This position requires exceptional organisation, strong administrative capability, and a high level of accuracy. You will support project delivery from planning through to completion, ensuring all documentation, RAMs, schedules, and site requirements are fully prepared and aligned.

Responsibilities



Coordinate and lead our largest project, managing multiple workstreams simultaneously and ensuring deadlines, budgets, and client expectations are consistently met. Balance high-volume, short-term project tasks with longer-term planning activities. Coordinate stock, materials, and supply requirements with internal departments and external suppliers. Prepare, review, and issue RAMs for site work, ensuring compliance with project and client requirements. Manage varying site-specific requirements across large-scale programmes, ensuring all details are captured, communicated, and actioned correctly. Maintain accurate and detailed project documentation, trackers, and spreadsheets. Support project teams by providing clear guidance, updates, and administrative support. Conduct basic root cause analysis when issues arise and support the implementation of corrective actions. Communicate clearly and professionally with clients, suppliers, and internal departments. Keep risk logs, schedules, and documentation up to date using internal systems. Assist with the coordination of cross-functional activities for project delivery and installation teams.

Requirements



A commitment to delivering excellent customer service, with the ability to build positive relationships with clients and suppliers. Proven experience coordinating multiple projects within a fast-paced environment. Strong organisational skills with exceptional attention to detail. Able to work with high volumes of information while maintaining accuracy. Confident working with spreadsheets, schedules, and administrative systems; proficient in Excel or similar tools. Ability to balance short-term demands with longer-term project planning. Experience coordinating stock, supply, or procurement activities (advantageous). Understanding of RAMs and basic site documentation (training can be provided but experience is beneficial). Confident managing varying site requirements across multiple locations. Strong communication skills, both written and verbal. Able to think ahead*, anticipate needs, and apply critical thinking to prevent issues before they arise.
Ability to prioritise effectively and manage time across competing tasks. Experience in construction, signage, fit-out, or similar operational environments is an advantage but not essential.
Job Types: Full-time, Permanent

Pay: Up to 38,500.00 per year
