Job Description

The ILDS Project Coordinator will work closely with the ILDS Policy and Advocacy Lead and the ILDS Global Skin Health Project Coordinator to support the programmes of the ILDS; in particular the Grand Challenges in Skin Health, the Education Committee, Neglected Tropical Disease NGO Network (NNN) as well as ILDS' WHO collaboration.

Hours of work:

35 hours per week - usual working hours are 09:00 - 17:00 Mon - Fri. Flexible working requests will be considered.

32 000 - 36 000 - pro rata dependent on experience

The office is based in London. A Work From Home policy is in place and an agreement will be made with all new employees. Employees are expected to come to the office regularly in addition to staff meetings and may be requested to be present on other occasions.

Main objectives:



Provide administrative and logistical support for the programmes led by the ILDS Policy and Advocacy Lead and the ILDS Global Skin Health Project Coordinator, including meeting management (e.g. preparing agendas, presentations, taking minutes and tracking action items). Coordinate programme activities such as webinars and events (virtual and in-person), collaborating with the ILDS Meeting & Events Coordinator. This includes developing (scientific) programmes and itineraries, making travel arrangements, booking venues with appropriate facilities and liaising with speakers and attendees. Provide support with coordinating projects - including developing plans, keeping track of the set budgets, and creating and keeping track of appropriate timelines and actions. Support with drafting policies, including doing research, proof reading and fact checking. Work with the ILDS Communications Lead to develop the communications for committees, to raise the profile of projects and partnerships, including drafting content for the ILDS newsletters Maintaining relationships with collaborating organisation and partners of ILDS, such as GlobalSkin and the NNN. This includes coordinating joint projects and committees (e.g. coordinating the meeting of the NNN Skin Cross Cutting Group at the Annual NNN meeting)

Skills & Qualifications



Required skills



Relevant professional experience as an administrator, assistant or project coordinator, preferably in an international setting Excellent project management skills and experience, demonstrating the ability to participate in (international) projects Excellent written and verbal communication skills, with the ability to draft clear, professional correspondence and communicate effectively across diverse audiences, including those for whom English is a second language. Exceptional attention to detail, with high levels of accuracy, especially in documentation, data handling, and budget tracking. Strong interpersonal skills, with the ability to build and maintain positive working relationships across a wide range of stakeholders, including board members, external partners, and internal colleagues. High level of IT proficiency, including Microsoft Office, cloud-based file management and web browsers Familiarity with project management and communication tools, such as Monday.com, Microsoft Teams, CampaignMonitor, and Zoom (or similar). Flexibility and adaptability, with a proactive attitude and the ability to manage shifting priorities, fast-changing schedules, and emerging tasks with calm efficiency. Problem-solving mindset, with a practical and resourceful approach to supporting individuals and managing day-to-day operations. Experience of undertaking research projects, collecting and analysing data and preparing reports

Desired



Strong understanding of how to navigate group dynamics, including working within hierarchical or politically nuanced environments. Relevant experience in the voluntary, non-profit, or community sector, ideally within an international or cross-cultural context. Experience supporting governance functions (e.g. board or committee work), including preparation of meeting materials and minute-taking. Familiarity with customer relationship management (CRM) systems such as Salesforce, or other relevant databases Experience creating news articles and brief summaries for various channels Confident in working independently, demonstrating initiative and the ability to manage time and priorities with minimal oversight.
